**Salary + Commission Role**

Position Overview

We are seeking a sharp, highly organized, and proactive Executive Sales Assistant to provide high-level administrative and operational support to our Sales Team.

This is not a traditional call center or basic appointment-setting position. This individual will play an important role in managing the front end of our sales process — overseeing incoming opportunities, coordinating calendars, communicating professionally with prospective customers, and ensuring our Sales Team is positioned to move quickly and efficiently.

The ideal candidate is someone who is quick-thinking, polished, resourceful, and exceptionally organized. You should be able to manage multiple priorities without losing attention to detail, communicate confidently with both customers and sales professionals, and recognize what needs to happen next without always being told.

A major component of this position will be managing new incoming leads and coordinating sales appointments; however, we are looking for someone capable of taking ownership beyond simply scheduling appointments.

Core Responsibilities

Sales & Lead Coordination

Oversee the day-to-day coordination of new incoming sales opportunities.
Serve as a professional first point of contact for prospective customers.
Communicate with new leads by phone, text, and email to coordinate sales consultations.
Strategically manage Sales Team calendars and appointment availability.
Match and coordinate appointments based on availability, scheduling needs, and internal priorities.
Maintain consistent follow-up with prospective customers who have not yet scheduled.
Proactively manage cancellations, reschedules, missed appointments, and open calendar availability.
Ensure new opportunities are handled promptly and no viable leads fall through the cracks.
Maintain accurate lead, appointment, and customer information within the CRM.
Identify scheduling issues, bottlenecks, or missed opportunities and take initiative to resolve them.

Executive & Sales Team Support

Provide high-level administrative support to Sales leadership and the broader Sales Team.
Manage calendars, meetings, scheduling, and other time-sensitive priorities.
Help organize and prioritize sales-related tasks and follow-ups.
Coordinate communication between Sales and other departments when necessary.
Prepare reports, documentation, customer information, or other materials needed by Sales leadership.
Assist with maintaining accurate and organized CRM records.
Track outstanding items and proactively follow up with the appropriate team members.
Assist Sales leadership with special projects, reporting, and operational initiatives.
Anticipate administrative needs and take ownership of tasks through completion.

Who We're Looking For

We're looking for someone who is sharp, confident, organized, and highly dependable.

You are the type of person who notices when something doesn't make sense, asks the right questions, and finds a solution. You don't need to be reminded repeatedly to follow up on something, and you're comfortable taking ownership of an issue until it's resolved.

You should be able to communicate professionally with a prospective customer one minute, coordinate competing priorities across multiple calendars the next, and then shift into supporting Sales leadership with an administrative project.

This position requires someone who can think beyond the task in front of them and understand the bigger picture.

Qualifications

Previous experience in executive support, sales coordination, sales operations, administrative support, or a similar professional environment preferred.
Exceptional organizational and time-management skills.
Strong verbal and written communication skills.
Professional, polished, and confident phone presence.
Strong critical-thinking and problem-solving abilities.
Ability to prioritize independently in a fast-moving environment.
Excellent attention to detail and follow-through.
Ability to manage multiple calendars, priorities, and deadlines simultaneously.
Comfortable working with CRM systems, Google Workspace, calendars, spreadsheets, and other business software.
Ability to learn new systems and processes quickly.
Experience supporting a sales organization is strongly preferred.

The person in this position should become someone the Sales Team can rely on — not simply to complete assigned tasks, but to stay one step ahead and keep the sales operation moving.

Pay: $40,000.00 - $80,000.00 per year
