Full Job Description

Job Summary:

A Front Desk Representative is a professional who serves as the first point of contact for all customers of a business. In this role, you’ll greet visitors, answer phone calls, receive and distribute mail, and assist with maintaining office supplies. Your friendly demeanor, organizational skills, and customer-oriented approach will contribute to creating a positive first impression for our company.

Responsibilities:

Keep the front desk tidy and presentable with all necessary materials (pens, forms, paper, etc.).
Greet and welcome guests as they approach the front desk.
Answer questions and address complaints promptly.
Handle all incoming calls and redirect them or take messages.
Receive letters, packages, etc., and distribute them accordingly.
Prepare outgoing mail by drafting correspondence and securing parcels.
Check, sort, and forward emails.
Monitor office supplies and place orders when necessary.
Maintain updated records and files.
Monitor office expenses and costs.
Perform other duties as assigned (e.g., travel arrangements, schedules).

Requirements and Skills:

Proven experience as a front desk representative, agent, or in a relevant position.
Familiarity with office machines (e.g., fax, printer).
Knowledge of office management and basic bookkeeping.
Proficient in English (both oral and written).
Excellent knowledge of MS Office (especially Excel and Word).
Strong communication and people skills.
Good organizational and multitasking abilities.
Problem-solving skills.
Customer service orientation.
High school diploma; additional qualifications will be a plus.
