Full Job Description

POSITION OVERVIEW
The position of Office Administrative Assistant will be an integral member of the growing Maintenance division of Start To Finish. This will be a full-time position and will require office support to the General Manager, Operations Manager, Sales Account Managers, Office Manager, and Design-Build Staff. Database Management of the Maintenance division residential and commercial properties is an integral part of the position.

POSITION RESPONSIBILITIES
● Administrative - Ability to multi-task with general office support to staff as required. This includes but is not limited to: answering phones, drafting correspondences, greeting and assisting guests, plan and schedule appointments and events. Posting account receivables and payables, and other light accounting.
● Database – Database management includes but is not limited to: customer relations management, job scheduling for maintenance department, job tracking and timesheet management for invoicing, and general knowledge and support of staff using the database.
● Estimating – Provide assistance to the General Manager and Sales Account Managers with the creations of service agreements and proposals for maintenance division. Maintain the database with proper information for accurate and detailed proposals for future work. Maintaining approved estimates in the time management system of the database requires attention to detail to ensure proper invoicing of completed services.
● Customer Service – Professional representation of the company with customers is key and is primarily through email or phone interactions.
● Problem Solving – Adaptability and being quick on your feet will be important in this role. Certain seasons of the year will be fast paced and require much attention and focus to complete tasks successfully. Negotiation, communication, research, and stepping outside of the ‘box’ to overcome any situation is important.
● Communication – Ability to understand and explain concepts with your team members is required. Communication ideas both verbally and in written form in a clear, concise, and professional manner.

REQUIREMENTS

● Advanced knowledge of electronic systems, Microsoft Office, Adobe Suite, Quickbooks, and more.
● Database management experience preferred
● Minimum high school diploma and post secondary education degree
● Ability to analyze and solve problems using learned techniques and tools
● Patience with team members, some team members may need onsite job training and instruction.
● Requires attention to detail
● Strong Communication skills, and enforce communication throughout our company
● Daily transportation to and from work

COMPENSATION STRUCTURE

$18.00/hour, with an average of 45 hours per week or more
80/20 Health Care Coverage for Employee (may add Children to the Plan for 0/100 coverage)
Vacation days are available per the company handbook

POSITION SUMMARY
