Job Summary

We are seeking a proactive and detail-oriented Bookkeeper/Administrative Assistant to join our dynamic team. This role combines essential bookkeeping responsibilities with administrative support, ensuring smooth office operations and accurate financial record-keeping. The ideal candidate will be highly organized, tech-savvy, and capable of managing multiple tasks efficiently. You will play a vital role in maintaining financial accuracy, supporting client communication, and providing exceptional front desk service to foster a welcoming environment for all visitors and team members.

Responsibilities

Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Handle data entry with precision, maintaining accurate financial and administrative records
Support office management duties such as filing, document proofreading, and organizing spreadsheets
Operate multi-line phone systems to answer inquiries, direct calls professionally, and provide excellent customer support
Assist with calendar management and scheduling appointments for staff and clients
Greet visitors at the front desk with friendly phone etiquette and provide exceptional customer service
Maintain organized filing systems both physically and digitally using Google Workspace and Microsoft Office productivity software
Support client communication through email correspondence, phone calls, and written documentation
Perform general clerical tasks including typing, proofreading, and managing office supplies to ensure efficient workflow

Requirements

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in QuickBooks for bookkeeping tasks and familiarity with financial software tools
Excellent computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and spreadsheets management
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Exceptional phone communication skills with experience handling multi-line phone systems and front desk duties
Bilingual abilities are preferred to assist diverse client needs and enhance team communication
Previous experience in customer service or medical/dental receptionist roles is a plus
Demonstrated data entry accuracy, proofreading abilities, and attention to detail
Ability to manage time efficiently while juggling multiple responsibilities with professionalism
