Full Job Description

The Accounting Assistant supports the company's daily accounting operations while also providing basic employee technology assistance as needed.

This is a hands-on role for a junior-to-mid-level professional with accounting, bookkeeping, office finance, or business administration experience who is organized, accurate, dependable, and willing to learn basic IT support tasks.

The position works closely with the Senior Accountant on accounts payable, accounts receivable, reconciliations, reporting, records maintenance, payroll administration, and month-end support. The role will also assist the Senior IT Manager with routine employee technology needs such as Microsoft 365 support, password and login issues, workstation setup, printer support, and equipment tracking.

This position is best suited for someone whose primary strength is accounting and who is comfortable learning how to assist with common office technology needs in a growing company of approximately 80 employees.

Advanced IT knowledge is not required. Training can be provided for the routine technology support responsibilities of the position.

Primary Accounting Support Responsibilities

Assist the accounting department with routine daily accounting and administrative tasks, including:

Process accounts payable transactions
Support accounts receivable activities and collections follow-up
Enter financial data into accounting and ERP systems
Process vendor invoices and employee expense reports
Assist with bank and credit card reconciliations
Maintain accurate accounting records and supporting documentation
Assist with payroll-related administrative tasks
Support month-end closing activities
Prepare basic financial reports and spreadsheets
Assist with inventory and purchasing documentation as needed
Research and resolve routine invoice and transaction discrepancies
Maintain organized electronic and physical accounting records
Assist the Senior Accountant with additional accounting projects as needed
Maintain confidentiality of financial and employee information

IT Support Responsibilities

Assist the IT department with routine employee technology needs, including:

Provide basic first-level employee technology support
Assist with setting up computers, printers, phones, and user accounts
Help employees with password and login issues
Provide basic Microsoft 365 and office application support
Troubleshoot common printer, hardware, software, and connectivity issues
Maintain IT equipment and inventory records
Help document basic IT procedures
Assist with conference room and office technology
Coordinate with the Senior IT Manager or outside vendors when an issue requires additional technical expertise

These responsibilities are intended to cover common day-to-day technology needs. More complex technical issues will be handled or directed by the Senior IT Manager.

Qualifications

Education

Associate's degree or coursework in Accounting, Business, Finance, Business Administration, Information Technology, or a related field preferred.

Equivalent practical experience will also be considered.

Experience

1–4 years of experience in accounting support, bookkeeping, accounts payable, accounts receivable, office finance, or a related role preferred
Experience in a small or mid-sized business environment is a plus
Previous IT or help desk experience is helpful but not required

Accounting Skills

Candidates should have:

Basic understanding of accounting and bookkeeping principles
Experience or familiarity with accounts payable and/or accounts receivable
Comfort working with spreadsheets, financial data, and data entry
Strong attention to detail and accuracy
Ability to maintain organized financial records
Familiarity with accounting or ERP software preferred
Ability to work with confidential financial and employee information

Technical Skills

Basic familiarity with office technology is preferred, but specific technical skills can be trained. Helpful experience includes:

Windows PCs
Microsoft 365 and Microsoft Office applications
Printers and common office hardware
Password and user account support
Basic computer troubleshooting
Setting up computers and employee workstations

A willingness and ability to learn routine technology support procedures is more important than advanced technical experience.
