Job Summary
We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. This vital role involves providing exceptional administrative support, managing front desk responsibilities, and ensuring a welcoming environment for clients, visitors, and staff. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills to handle multiple tasks efficiently. Your proactive approach will contribute significantly to the overall efficiency and professionalism of our office.

Responsibilities

Greet visitors, clients, and vendors with a friendly and professional demeanor at the front desk.
Manage multi-line phone systems, screen calls, and direct inquiries appropriately using excellent phone etiquette.
Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office management tools.
Assist with appointment scheduling, calendar management, and coordinate meetings for staff members.
Support bookkeeping tasks such as invoicing, expense tracking, and QuickBooks entry to ensure accurate financial records.
Handle clerical duties including proofreading documents, preparing correspondence, and managing incoming/outgoing mail.
Provide customer service support by addressing inquiries promptly and professionally while maintaining a positive attitude.
Maintain office supplies inventory and coordinate with vendors as needed to ensure smooth daily operations.

Qualifications

Proven office experience with strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy.
Experience with multi-line phone systems, data entry, filing, and general clerical tasks.
Excellent time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Strong customer service skills coupled with professional phone etiquette.
Highly Proficient in QuickBooks.
Bookkeeping Experience
