Full Job Description

Overview
We are seeking a highly organized and professional Office Support specialist to join our team. This role is essential in maintaining smooth office operations, providing exceptional customer service, and supporting administrative functions across various departments. The ideal candidate will possess strong computer literacy, excellent communication skills, and experience in office management or clerical roles. Bilingual abilities are a plus, enabling effective communication with diverse clients and team members. This position offers an opportunity to work in a dynamic environment where attention to detail and organizational skills are highly valued.

Duties

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks such as calendar management, document creation, and email correspondence
Assist with bookkeeping tasks using QuickBooks or similar software as needed
Provide customer support via phone and email, ensuring excellent phone etiquette and timely responses
Support office management activities including scheduling appointments, managing calendars, and coordinating meetings
Handle clerical tasks such as photocopying, faxing, and maintaining office supplies inventory
Support administrative projects that enhance office efficiency and workflow
Maintain a clean and organized work environment to promote productivity

Experience

Prior office experience or administrative support background preferred
Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace required
Experience with QuickBooks or bookkeeping software is advantageous
Strong organizational skills with the ability to prioritize tasks effectively
Excellent typing speed and data entry accuracy
Bilingual abilities are a plus for communicating with diverse clients or team members
Previous experience in customer service or as a receptionist (medical or dental reception experience is beneficial)
Knowledge of phone etiquette, clerical procedures, and office management best practices
Demonstrated ability to handle multiple responsibilities efficiently while maintaining attention to detail

Pay: $13.00 - $15.00 per hour
