EVENT COORDINATOR
SALARY RANGE: $58,000-$63,000
PROGRAM SUMMARY: Children's Beach House (CBH) is a private, non-profit organization organized under section 501(c) (3) of the internal Revenue Code as a public charity. CBH was founded in 1936 by Lydia Chichester DuPont with the mission of improving the lives of children, youth, families, and communities by helping them to identify, understand, and utilize their own strengths, talents, and resources.
SUMMARY: The Event Coordinator is responsible for planning, coordinating, and executing fundraising, and mission-driven events. This role serves as a key liaison between the organization, community partners, donors, and event participants to ensure exceptional experiences that advance the organization's mission. The ideal candidate is highly organized, relationship-oriented, and passionate about building community engagement through meaningful and successful events.
RESPONSIBILITIES:
Event Planning and Coordination
- Plan, organize, and execute fundraising events, community outreach activities, and volunteer appreciation events.
- Develop and manage event timelines, budgets, logistics, and implementation plans.
- Actively solicits event sponsorships and maintains a portfolio of event sponsors
- Coordinate venues, vendors, entertainment, décor, equipment rentals, permits, and event materials.
- Collaborate with staff, sponsors, donors, and community partners to ensure successful event execution.
- Recruit and manage event committees and volunteers.
- Manages silent and live auctions
- Oversee on-site event operations and troubleshoot issues as they arise.
- Evaluate event outcomes and prepare post-event reports with recommendations for improvement.
Communications & Marketing Support
- Collaborate with the Director of Information Systems and Creative Design, and Director of Communications to support the promotion of organizational events and fundraising campaigns.
- Provide timely event details to assist in the development of marketing and communications materials.
- Coordinate with the Director of Communication to ensure event messaging, promotional timelines, and outreach efforts are aligned with organizational goals and branding standards.
- Assist in gathering event content, including photos, videos, volunteer stories, testimonials, and participant feedback, for organizational communications, social media, donor engagement, and campaigns.
Budget & Administrative Management
- Maintain event records, calendars, contracts, reports, and volunteer databases.
- Track event revenue, sponsorships, and expenses.
- Prepare reports on event attendance and engagement metrics.
QUALIFICATIONS: The candidate must possess experience in event coordination, volunteer management, community engagement, or nonprofit program support, with the ability to organize and execute multiple projects while maintaining attention to detail and meeting deadlines. A bachelor’s degree in Event Management, Public Relations, Business Administration, Nonprofit Management, or a related field is preferred; equivalent professional experience will be considered.

· Demonstrated ability to coordinate projects, manage timelines, and follow through on commitments.
· Experience recruiting, training, supporting, or engaging volunteers.
· Ability to work collaboratively with staff across departments and contribute positively to a team environment.
· Self-starter with the ability to work independently, anticipate needs, and take initiative.
· Flexible and adaptable with the ability to manage changing priorities and event-related challenges.
· Commitment to the mission and values of Children's Beach House and a passion for community engagement.
· Ability to work evenings, weekends, and occasional holidays as required by event schedules.
· Computer Skills: Proficiency with Microsoft Office, including Word and Excel; experience with donor databases (Raiser’s Edge), event management platforms, and volunteer management software. Must be proficient operating in a Mac environment.
OTHER SKILLS AND ABILITIES: Ability to manage multiple events, volunteer initiatives, and projects simultaneously while meeting deadlines and collaborating closely with the Philanthropy team and other departments to ensure well-coordinated events, meaningful volunteer experiences, and consistent representation of Children's Beach House's mission and brand.
