Overview

We are seeking a dynamic and highly organized Office Manager/Bookkeeper to join our team! This vital role combines administrative leadership with financial oversight, ensuring the smooth operation of our office environment while maintaining accurate financial records. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills to support daily office functions and bookkeeping responsibilities. Duties

Manage daily office operations, including overseeing front desk activities and maintaining a welcoming environment for visitors and staff
Handle multi-line phone systems with professionalism, providing excellent customer service and client communication
Maintain organized filing systems, data entry, and document management using productivity software such as Microsoft Office and spreadsheets
Perform bookkeeping tasks using QuickBooks, including invoicing, expense tracking, payroll processing, and bank reconciliations
Support calendar management, schedule appointments, coordinate meetings, and assist with personal assistant duties as needed
Ensure accurate proofreading of documents, correspondence, and reports to uphold professional standards
Provide exceptional customer support via phone and in person, demonstrating strong phone etiquette and organizational skills

Requirements

Proven experience in office management, administrative support or clerical roles with a focus on organization and efficiency
Proficiency in QuickBooks for bookkeeping tasks; strong computer literacy across Microsoft Office applications including Word, Excel, and Outlook
Excellent data entry skills with high accuracy; familiarity with spreadsheets for financial tracking and reporting
Experience managing multi-line phone systems and providing outstanding customer service in a front desk setting
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Technical proficiency in office productivity software, typing speed, proofreading skills, and calendar management
Previous experience in customer support or client communication roles is preferred
Demonstrated ability to handle confidential information discreetly while maintaining professionalism
