Front Desk & Client Experience Coordinator

Medical Wellness & Aesthetic Clinic – Lexington, KY
Full-Time
Monday – Friday
In Person
Pay - $19-21 per hour

Role

Our growing medical wellness and aesthetic clinic is looking for a polished, organized, and client-focused Front Desk & Client Experience Coordinator to join our team.

This role is much more than answering phones — you are the face of the clinic and a key part of creating an exceptional client experience from the moment someone walks through our doors.

The ideal candidate is warm, professional, highly organized, and comfortable balancing administrative responsibilities with light sales support responsibilities such as educating clients on services, encouraging memberships/packages, rebooking appointments, and helping drive client retention.

This is a great opportunity for someone who enjoys both customer service and relationship-building in a fast-paced wellness and aesthetics environment.

Responsibilities

Welcome clients and create an exceptional first impression
Manage scheduling, check-in/check-out, phones, texts, and client communication
Support retail sales, memberships, and package sales through client education and recommendations
Maintain accurate client records, intake paperwork, and HIPAA compliance
Keep the front desk and reception area clean, organized, and professional
Support clinic operations and team communication to ensure smooth daily flow

Requirements

Previous front desk, medical office, med spa, wellness, or customer service experience preferred
Strong communication, multitasking, and organizational skills
Professional appearance with a polished, client-focused demeanor
Comfortable discussing services, memberships, retail products, and promotions
Positive attitude, reliability, and strong attention to detail
Comfortable learning scheduling software, EMR systems, and office technology

Results (KPIs)

Strong client satisfaction and overall experience
High appointment rebooking and schedule accuracy
Support of membership, package, and retail sales goals
Timely phone, text, and inquiry response times
Accurate client documentation and operational organization
Positive Google reviews, attendance, and professionalism
