Company Overview

Tech Guide is a luxury home automation and systems integration company with nearly 30 years of experience serving high-end residential clients, builders, architects, and interior designers. We design, install, and support home automation, audio/video, lighting control, networking, security, surveillance, electrical systems, shading, and connected-living solutions.

We are growing quickly and need an organized, proactive, technically inclined Office Manager who can help keep the company running smoothly while also supporting marketing, administration, bookkeeping, and internal coordination.

The Opportunity

Tech Guide is hiring an organized, proactive, technically inclined Office Manager to support daily operations, bookkeeping, project administration, customer communication, vendor coordination, and marketing.

This is a key role at the center of a growing company. The right candidate must be comfortable with numbers, software, people, marketing tools, scheduling, documentation, and the pace of a construction/technology business.

Reporting Structure

The Office Manager reports to the CEO and/or COO and supports leadership, accounting, sales, project management, field teams, service, vendors, and clients.

Key Responsibilities

Manage daily office operations and maintain a professional, organized, efficient office environment.

Use QuickBooks for bookkeeping support, invoicing, accounts payable, accounts receivable, vendor bills, expenses, job-cost support, and reporting.

Support purchasing, scheduling, client communication, vendor coordination, and internal documentation.

Help maintain project paperwork, purchase orders, service tickets, warranty information, client records, and closeout documentation.

Support leadership with administrative tasks, reporting, meeting preparation, and process improvement.

Maintain employee records, vendor files, insurance documents, licenses, certifications, and company records.

Use Canva, Adobe Suite, and social media platforms to support marketing efforts.

Assist with social media posts, email campaigns, recruiting posts, project highlights, simple graphics, client communications, and brand-supporting content.

Support consistency in company messaging, documents, presentations, and client-facing materials.

Answer phones, manage emails, coordinate appointments, and support client follow-up.

Assist with company events, showroom support, recruiting, team communication, and culture-building.

Required Qualifications

5+ years of office management, bookkeeping, administrative, construction office, operations support, or related experience.

QuickBooks experience required.

Marketing experience with Canva, Adobe Suite, and social media platforms.

Strong computer skills and ability to learn software quickly.

Excellent organization, writing, communication, and follow-through.

Ability to support both leadership and field teams.

Professional phone, email, and client communication skills.

Preferred Qualifications

Experience in construction, electrical, AV, IT, home automation, design/build, security, or another trade-related business.

Experience with D-Tools Cloud, ClickUp, Visio, Microsoft Office Suite, QuickBooks, Buildertrend, Procore, Monday.com, HubSpot, Mailchimp, or similar platforms.

Experience with job costing, purchase orders, invoices, service tickets, project documentation, vendor management, or social media content calendars.

Growth Path

This role can grow into Operations Coordinator, Accounting Manager, Marketing Coordinator, Executive Assistant, or Office Operations Manager.
