Help keep the financial and administrative details moving accurately

swissQprint America is looking for a Bookkeeping and Administrative Assistant who is detail-oriented, organized, comfortable with numbers, and ready to support the daily accounting and administrative activities that help our business run smoothly.

In this role, you will support the Bookkeeper and administrative team with day-to-day transactional accounting tasks, accounts payable and receivable support, customer payment posting, monthly expense report processing, account credits, sales-related documentation, and general office administration. The right person for this position enjoys accuracy, follow-through, and helping a team stay organized in a fast-moving environment.

This position helps protect that experience behind the scenes by supporting accurate invoices, timely payment processing, clean records, organized documentation, and reliable administrative follow-through.

What you will do

Post vendor bills and expenses accurately into the accounting system, ensuring proper coding to accounts and cost centers.
Record customer payments against open invoices and help resolve payment discrepancies.
Support accounts receivable processes, including aging reports, customer statements, payment reminders, and escalation of past-due accounts according to company procedures.
Review ledgers and identify illogical, incomplete, or incorrect bookings, then coordinate corrections with the Bookkeeper.
Assist with basic account reconciliations, data validation, and accounting follow-up as directed.
Process monthly expense reports accurately and on time.
Help prepare and complete sales quotations, customer invoices, returns, account credits, and related sales administration documents.
Assist with order entry, document preparation, filing, scanning, and general office administration.
Communicate professionally with customers, colleagues, and suppliers when supporting financial or administrative follow-up.
Represent swissQprint values through accuracy, accountability, service, and a willingness to help where needed.

What will help you succeed

Minimum 3 years' experience in bookkeeping, accounting support, accounts receivable, accounts payable, administrative support, sales administration, or a related role.
Strong attention to detail, numerical accuracy, and the ability to spot inconsistencies before they become problems.
Comfort working with accounting software, ERP systems, databases, and Microsoft Office applications, especially Excel, Word, and Outlook.
Clear, organized, and professional communication skills for interacting with team members, customers, and suppliers.
The ability to manage multiple priorities, meet deadlines, and stay organized in a busy environment.
A self-starter approach with the ability to work independently while also contributing as a reliable team member.
A customer-focused mindset and a high personal standard for accuracy, confidentiality, and follow-through.
Post-high school education or training in bookkeeping, accounting, business administration, or a related field is helpful.
Ability to work from our West Dundee, Illinois facility.
