Full Job Description

Job Summary

We are seeking an experienced, organized, and proactive Dental Office Manager/Treatment Coordinator.

This is a hands-on leadership position with a strong focus on front-office management, treatment coordination, patient communication, scheduling, collections, and collaboration between the clinical, hygiene, billing, marketing, and management teams.

The ideal candidate takes ownership of responsibilities, communicates effectively, follows through on outstanding matters, and understands how to create an exceptional patient experience while supporting the productivity and growth of a dental practice.

Key ResponsibilitiesFront-Office Operations

Oversee the office’s daily administrative and front-desk activities.
Welcome patients and maintain a professional, friendly, and organized environment.
Manage incoming calls, messages, online appointment requests, and patient inquiries.
Maintain an efficient and productive schedule for doctors and hygienists.
Confirm appointments and follow up on cancellations, broken appointments, unscheduled treatment, and overdue recare.
Monitor new-patient leads and ensure timely follow-up.
Verify patient information and required documentation before treatment and checkout.
Maintain accurate patient records and communication notes in Dentrix Ascend.
Ensure compliance with HIPAA, OSHA, and applicable dental-office policies.

Treatment Coordination and Patient Care

Review treatment plans with patients and explain recommended procedures in a clear and compassionate manner.
Discuss estimated insurance benefits, patient portions, payment options, membership plans, and available financing.
Help patients overcome financial or scheduling concerns that may prevent them from proceeding with treatment.
Obtain properly completed and signed treatment plans, consent forms, and financial agreements.
Coordinate appointments for general dentistry, hygiene, Invisalign, orthodontics, implants, oral surgery, endodontics, and aesthetic services.
Follow up with patients who have outstanding or unscheduled treatment.

Financial and Insurance Responsibilities

Verify insurance eligibility and benefits before appointments.
Review treatment estimates for accuracy before presenting them to patients.
Collect copayments, deductibles, outstanding balances, and treatment deposits.
Assist with accounts receivable and patient payment follow-up.
Ensure payments are properly entered and allocated within the practice-management system.
Review daily production, collections, deposits, and other operational reports.
Coordinate with the billing and insurance departments to resolve claims or account-related issues.

Team and Department Coordination

Maintain clear communication among doctors, hygienists, dental assistants, front-office employees, billing personnel, marketing representatives, and management.
Lead daily huddles and communicate scheduling concerns, patient needs, and production opportunities.
Assign responsibilities and follow up to confirm that tasks are completed.
Assist with staff training, accountability, performance feedback, and policy implementation.
Identify workflow problems and work with management to implement practical solutions.
Help coordinate office supplies, lab cases, facility needs, and vendor communication.
Support marketing initiatives, patient-retention efforts, community events, and office-growth strategies.

Qualifications

At least three years of dental front-office, treatment-coordination, or dental-management experience is strongly preferred.
Working knowledge of dental terminology, insurance benefits, treatment planning, billing, collections, and financial arrangements.
Experience with Dentrix Ascend, Dentrix, Eaglesoft, or comparable dental-practice software.
Strong leadership, organization, communication, and problem-solving skills.
Ability to manage multiple priorities in a busy dental-office environment.
Comfortable presenting treatment plans and discussing financial responsibilities with patients.
Strong attention to detail and commitment to accurate documentation.
Professional, dependable, positive, and able to take initiative.
Ability to work independently while collaborating effectively with multiple departments.
Proficiency with Microsoft Office and common business communication tools.
Bilingual English and Spanish is a plus.

Pay: $26.00 - $34.00 per hour
