Job Title: Administrative Assistant

Work Location: American Township Administrative Building (102 Pioneer Road, Elida, OH 45807

Normal Work Hours: 8:00 a.m.-4:00 p.m. (Monday Through Friday) (40 Hours a week)

Additional Work Hours: Zoning Commission Meetings (Based on Cases requiring a hearing and held when required during late afternoon / early evening), Zoning Appeals Board Meetings (Based on Cases requiring a hearing and held when required during late afternoon / early evening)

Pay: $45,000 / Yearly (Salaried) Negotiable based on experience and qualifications.

Summary and Requirements: The Administrative Assistant provides comprehensive administrative and clerical support to the American Township Board of Trustees while serving as the primary administrative support for the Road Department, Zoning Department, and Police Department. This position is responsible for maintaining efficient office operations, providing exceptional customer service to residents, assisting with public records management, and supporting the day-to-day administrative functions of multiple township departments.

Technical Skills:

· Excellent verbal and written communication skills.

· Strong organizational and time management abilities.

· Ability to manage multiple priorities with minimal supervision.

· Excellent customer service and interpersonal skills.

· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

· Ability to learn township software and records management systems.

· Knowledge of office procedures and modern administrative practices.

· Familiarity with Ohio Public Records Law and Open Meetings Law is preferred.

· Ability to maintain confidentiality and exercise sound judgment.

· Ability to work effectively with elected officials, department heads, employees, and the public.

· Must successfully pass a criminal background check and be able to be certified in CJIS/NCIC/LEADS policy and procedures.

Essential Duties and Responsibilities:

General Administrative Duties:

· Serve as the first point of contact for residents, visitors, contactors, and vendors by greeting visitors, answering telephone calls, and responding to emails.

· Provide administrative support to the Board of Trustees and township departments.

· Prepare correspondence, reports, meeting agendas, minutes, and other official township documents.

· Maintain accurate filing systems, both electronic and paper.

· Process incoming and outgoing mail.

· Maintain office supplies and coordinate equipment maintenance.

· Assist with records retention in accordance with Ohio public records laws.

· Respond to citizen inquiries or direct them to the appropriate department.

Road Support:

· Assist the Road Superintendent with administrative and clerical functions.

· Prepare work orders, purchase orders, and departmental correspondence.

· Maintain road maintenance records, inventory, and project files.

· Coordinate communication with contractors, vendors, and residents regarding road projects.

Zoning Support:

· Receive zoning applications and permits.

· Schedule zoning inspections and Board of Zoning Appeals or Zoning Commission meetings as directed.

· Maintain zoning files, permits, maps, and property records.

· Assist residents with general zoning information while referring technical questions to the Zoning Inspector.

· Prepare notices, correspondence, and meeting documentation.

Police Department Support:

· Provide administrative support to the Police Chief and officers.

· Maintain confidential police records in accordance with applicable laws.

· Assist with records requests and public records compliance.

Board of Trustees Support:

· Prepare meeting agendas and supporting materials.

· Record and prepare minutes for Board meetings.

· Coordinate communicators between township departments and the Board of Trustees.

Qualifications:

Education:

· High school diploma or GED required.

· Must possess a valid Ohio Drivers License.

· Associate degree in business administration, public administration, or a related field preferred.

Experience:

· Minimum of two (2) years of progressively responsible administrative or office experience preferred.

· Experience in local government or public administration is preferred.

· Experience handling confidential information.

Physical Requirements

· Ability to sit for extended periods.

· Frequent use of computers and office equipment.

· Occasional lifting of files and office materials up to 25 pounds.

· Ability to attend evening Board meetings when required.

Working Conditions:

· Primarily an office environment.

· Frequent interaction with the public.

· Occasional exposure to stressful situations involving citizen complaints or emergencies.

· May be required to work occasional evenings for Board meetings or special events.

Compensation:

Salary and benefits shall be established by the American Township Board of Trustees in accordance with township policies and applicable Ohio law.
