Job Summary

We are seeking a dynamic and highly organized Office Manager/Administrative Assistant to join our team. This vital role combines office management with administrative support, ensuring smooth daily operations and exceptional client service. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to handle a variety of clerical and organizational tasks. Your energy and efficiency will help foster a productive work environment and support our company’s growth.

Responsibilities

Manage daily office operations, including overseeing supplies, equipment, and facility maintenance to ensure an efficient workspace.
Serve as the first point of contact at the front desk, greeting visitors, answering multi-line phone systems, and directing calls with professionalism and courtesy.
Handle data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office, ensuring all records are current and well-organized.
Maintain filing systems—both digital and physical—ensuring easy retrieval of documents and confidentiality of sensitive information.
Provide exceptional customer service by assisting clients, responding to inquiries promptly, and supporting client communication efforts.
Coordinate appointments, meetings, and calendar management for staff members, utilizing organizational skills to optimize schedules.
Assist with administrative projects such as proofreading documents, preparing reports, and managing correspondence with attention to detail.
Utilize technical proficiency in office management tools to streamline workflows and improve overall productivity.

Qualifications

Proven experience in office management or administrative roles with a strong background in clerical tasks and customer support.
Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), spreadsheets, data entry, and productivity software.
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Exceptional phone etiquette and communication skills—bilingual ability is a plus for diverse client interactions.
Familiarity with multi-line phone systems and front desk operations to ensure seamless client engagement.
Demonstrated ability to handle confidential information discreetly while maintaining accuracy in documentation.
Personal assistant experience or previous office experience that highlights time management and multitasking capabilities is preferred.
