Office Assistant – Accounting & Payroll Support (Construction/Service Industry)Summary

The Office Assistant supports daily operations in a fast‑paced construction/service environment by performing accounting tasks, maintaining accurate timekeeping records, assisting with payroll preparation, and managing unemployment claim documentation. This role requires strong attention to detail, reliability, and the ability to handle confidential information while supporting both office staff and field crews.

Key Responsibilities

Accounting & QuickBooks
Enter and reconcile financial transactions in QuickBooks, including vendor invoices, customer payments, job‑cost entries, A/P and A/R.
Assist with weekly and monthly financial reporting, job costing summaries, and expense tracking.
Maintain organized digital and physical accounting files.
Timekeeping & Payroll Support
Collect, verify, and enter daily and weekly timecards for field and office employees.
Track overtime, prevailing wage requirements, certified payroll data, PTO, sick time, and attendance.
Prepare timekeeping data for payroll processing and coordinate with payroll administrators.
Data Entry & Administrative Support
Maintain accurate databases for jobs, customers, vendors, and employee records.
Prepare spreadsheets, reports, and job documentation.
Manage filing systems, answer phones, greet visitors, and support daily office operations.
Unemployment Claims
Process unemployment claim notices and respond to state agency requests.
Maintain documentation related to employee separations, layoffs, and seasonal workforce changes.
Communicate with HR and management to ensure timely and accurate submissions.
Construction/Service Industry Support
Assist with job file setup, work orders, purchase orders, and subcontractor documentation.
Coordinate with field supervisors regarding timecards, job progress, and labor allocations.
Support compliance tasks such as safety documentation, certifications, and onboarding paperwork.

Qualifications

Experience with QuickBooks and basic accounting principles.
Strong data entry accuracy and organizational skills.
Familiarity with construction or service‑industry workflows (preferred).
Knowledge of timekeeping systems and payroll processes.
Ability to manage confidential information responsibly.
Proficiency in Microsoft Office (Excel, Word, Outlook).
Strong communication skills and ability to multitask in a busy office.

Preferred Skills

Experience with certified payroll or prevailing wage reporting.
Prior work with unemployment claim processing.
Understanding of job costing and construction billing.
Ability to support both office and field personnel effectively.

Pay: $25.00 - $30.00 per hour
