Position Summary
the Assistant Director of the Out-of-School (OOS) program serves as the second-in-command of the OOS program and the Director’s primary operational partner in delivering a high-quality after-school and full-day summer program for students in kindergarten through 8th grade. While the Director owns program vision, budget, staffing decisions, partnerships, and regulatory accountability, the Assistant Director owns execution: converting the Director’s program design into daily and weekly plans, supervising and coaching the program team, safeguarding quality and safety on the program floor, and keeping records, data, and compliance documentation review ready.
Essential Duties and Responsibilities
Program Delivery and Quality

Champion the Malone Center mission, vision, and values in all internal and external engagements.

Translate the Director’s program design into weekly activity plans, lesson blocks, staffing assignments, and daily schedules for both the academic year and summer sessions.

Oversee the consistent delivery of academic support, enrichment clubs, recreation, social-emotional learning, and youth development activities for students in kindergarten through 8th grade.

Conduct structured program-quality observations, document findings, and lead follow-up coaching, report trends and recommended improvements to the Director.

Ensure program spaces are prepared, safe, welcoming, and reset each day, and that materials and equipment are ready before students arrive.

Monitor staff-to-student ratios and coverage in real time and adjust placements as needed to maintain proper supervision.

Lead the operational execution of program transitions, including school-year to summer changeover and back-to-school launch.
Staff Supervision and Development
-
Directly supervise the OOS front-line program staff and volunteers.
-
Participate in recruitment by screening applicants, conducting interviews, and recommending candidates to the Director for hiring decisions.

Lead staff onboarding and orientation, and deliver ongoing in-service training on behavior support, trauma-informed practice, safety procedures, and CACFP requirements using materials developed with the Director.

Build staff schedules and coverage plans for Director review, and manage day-to-day timekeeping, shift changes, and absence coverage.

Provide regular coaching, feedback, and documented performance observations; draft performance evaluation input and support staff in setting and tracking SMART goals.

Facilitate weekly team meetings and ensure decisions, updates, and expectations are communicated consistently across all staff and shifts.

Address routine performance and conduct concerns in accordance with organizational policy and escalate formal disciplinary matters to the Director.
Youth Engagement and Behavior Support

Ensure activities are age-appropriate, culturally responsive, and grounded in trauma-informed and restorative practice.

Serve as the escalation point for behavior incidents beyond the Supervisor’s scope, providing de-escalation, intervention, and follow-up with students and families.

Develop and monitor individual behavior support plans in partnership with staff, families, and school personnel as needed.
-
Oversee student incentive, recognition, and youth leadership initiatives established by the Director.

Complete and review incident documentation for accuracy and timeliness and ensure required notifications are made.
Family, School, and Community Engagement
-
Manage day-to-day family communication, including enrollment intake, orientation, daily updates, and routine concerns.

Represent the OOS Program in school-based and community meetings as designated by the Director.

Coordinate logistics for family engagement events, open houses, and community partnership activities.

Maintain positive, professional relationships with school staff, families, funders, and partners, and route contractual or agreement-level matters to the Director.
Compliance, CACFP, and Recordkeeping
-
Ensure accurate daily attendance, meal and snack counts, production records, menus, and point-of-service documentation are completed in accordance with CACFP, USDA, state, and organizational requirements.

Monitor and audit records on a scheduled basis, correct deficiencies, and confirm all files are always review-ready.

Train and monitor staff on CACFP procedures, meal service requirements, civil rights expectations, sanitation, and documentation practices.

Oversee use of the Brightwheel parent and teacher portal and other program systems, ensuring timely and accurate data entry by all staff.

Prepare the site for licensing visits, CACFP reviews, monitoring visits, and audits, and support the Director in implementing corrective actions.

Enforce all safety, health, emergency, and child-supervision procedures, and lead required drills and safety walkthroughs.

Track supply and material inventory, prepare purchase requests, reconcile receipts, and monitor spending against approved budget lines.
Data, Reporting, and Continuous Improvement

Compile attendance, participation, enrollment, and outcome data for Director review and funder reporting.

Prepare draft reports, dashboards, and presentation materials on program performance and participation.

Identify operational bottlenecks and quality gaps and propose practical solutions to the Director.
Transportation, Events, and Field Trips

Oversee transportation logistics, including van scheduling, pre-trip vehicle and safety checks, driver certification verification, and route coverage.

Plan and lead the operational execution of field trips and special events, including during and outside of regular program hours.

Perform all other duties as assigned.
Delegated Authority
In the Director’s absence, the Assistant Director serves as the designated person in charge and is authorized to make operational decisions regarding staffing coverage, schedule adjustments, student behavior response, family communication, and emergency procedures. The Assistant Director does not have authority to make hiring or termination decisions, approve expenditures beyond a limit set by the Director, enter into agreements on behalf of the organization, or modify the approved program model without Director approval.
Minimum Qualifications

Bachelor’s degree in education, child development, youth development, social work, recreation, nonprofit management, or a related field preferred.

Minimum of three years of experience in youth development, after-school programming, childcare, or summer programming, including at least one year of supervisory or lead responsibility.

In lieu of a degree, five years of progressively responsible experience in a school-age youth program, including supervisory experience, will be considered.

Demonstrated experience serving children and families from marginalized and under-resourced communities.

Working knowledge of child and youth development for elementary and middle school students.

Knowledge of CACFP, licensed childcare operations, subsidy programs, and health and safety requirements preferred.

Demonstrated ability to coach and develop staff and hold others accountable to clear standards.

Strong organizational, communication, problem-solving, and relationship-building skills.
-
Ability to manage multiple priorities and make sound decisions in a fast-paced environment.

Proficiency with computer systems, online portals, recordkeeping, email, and reporting tools.

Ability to pass a preemployment background check and fingerprinting.

Valid Nebraska driver’s license with an acceptable driving record.

Professional appearance and conduct when representing the Malone Center.
Required Certifications and Trainings

CPR/First Aid Certification, or ability to obtain within the first 30 days of employment.

Food Handlers Permit, or ability to obtain within the first 30 days of employment.

Mandated Reporter training within the first 60 days of employment.

“Safe Kids Buckle Up” program within the first 60 days of employment.

Compensation and Benefits
Salary Range: $46,000–$56,000 annually, depending on qualifications and experience.
