ABOUT APEX WELLNESS
Apex Wellness, PC is a physician-directed hormone and wellness practice in Lincoln, Nebraska, led by Dr. Tadd Delozier, a board-certified physician with 30 years of clinical experience. We provide hormone replacement therapy for men and women, testosterone pellet therapy, peptide therapy, and medical weight loss, all guided by comprehensive lab testing and ongoing medical monitoring. We are a growing practice with an established patient base and high standards for how patients are treated, and the Front Desk Rep and Assistant Office Administrator is the person every patient meets first.
POSITION SUMMARY
You are the first voice on the phone, the first face at the desk, and the person who keeps the whole office running. This role combines front desk and patient coordination with the administrative backbone of the practice: you will manage scheduling, check-in and checkout, payments, memberships, and patient communication in Boulevard, our practice management platform, and you will also run the office itself, from correspondence and filing to supplies and calendar support for Dr. Delozier. This is a non-clinical role in a clinical environment: warmth, discretion, organization, and follow-through matter here more than any single credential. The right person takes real pride in patients feeling cared for from the first phone call, enjoys owning the details that keep an office humming, and wants to grow with a new practice from day one.
RESPONSIBILITIES
- Patient experience: Greet and check in every patient warmly and promptly, and manage a smooth checkout including payment processing
- Communication: Answer calls, voicemails, texts, and emails professionally and same-day; convert inquiries into scheduled consultations
- Scheduling: Manage the appointment calendar in Boulevard: booking, confirmations, reminders, reschedules, and provider notifications
- Care coordination: Coordinate the practice's labs-first care model: help coordinate patients complete bloodwork before their consultation and keep lab timing on track
- Memberships and records: Enroll and manage patient memberships, keep billing on schedule, and keep patient records accurate and current in Boulevard
- Service knowledge: Explain our services, memberships, and process at a general level, and route all medical and treatment questions to clinical staff
- Operations: Keep the front desk and waiting area presentation-ready, manage office supplies, and follow opening and closing procedures
- Confidentiality: Protect patient privacy in every interaction and handle all records and conversations in strict accordance with HIPAA
OFFICE ADMINISTRATION DUTIES
- Phones and reception: Answer and direct all practice calls promptly with professional phone etiquette, take accurate messages, and return voicemails same-day
- Clerical support: Handle incoming mail, email correspondence, and document tasks: data entry, filing, scanning, photocopying, and proofreading with accuracy
- Calendar support: Support Dr. Delozier's practice calendar: publishing availability, coordinating follow-up appointments, and keeping the schedule accurate as his hospital schedule changes
- Office upkeep: Keep the office organized and presentation-ready: monitor and order office supplies, coordinate deliveries, and maintain common areas
- Administrative support: Prepare simple documents and reports in Microsoft Word and Excel, and use Outlook and Teams for all internal practice communication
WHAT WE ARE LOOKING FOR
- At least 1 year of customer service, front desk, or administrative support experience; medical office, spa, salon, dental, hospitality, and office administration backgrounds all translate well
- Warm and professional in person and on the phone, including with patients who are frustrated or anxious
- Highly organized and detail-accurate: schedules, payments, and records have to be right the first time
- Proficient with computers, including Microsoft Office (Word, Excel, Outlook), with solid typing and data entry skills; experience with scheduling or point of sale software like Boulevard, Mindbody, or Vagaro is a plus, and we will train the right person
- Able to juggle a busy front desk and administrative tasks at the same time, prioritizing well in a fast-paced environment
- Bilingual abilities are a plus and welcomed, though not required
- Dependable, punctual, and comfortable being trusted with confidential information
- Associates Degree or higher
IMPORTANT NOTES
This is a non-clinical position. The Front Desk Rep and Assistant Administrator never provides medical advice, discusses treatment decisions, or handles medications; those conversations always belong to our clinical team. Candidates must be comfortable working in a medical environment and maintaining complete confidentiality about patients and their care.
COMPENSATION AND GROWTH
$19.00 - $22.00 per hour based on experience. This is a ground-floor role in a growing physician-owned practice: you will be the organizational hub of the office from day one, and as Apex Wellness grows, this position grows with it, with a natural path toward office management responsibility.
