Full Job Description

Job Overview

At Rixstine Recognition, we're looking for someone who loves helping people, enjoys staying organized, and takes pride in making sure every detail is accurate.

As our Customer Service & Product Information Coordinator, you'll be one of the first people customers interact with—whether they walk through our doors, call us on the phone, send an email, or contact us through our website or social media.

While customer service is your primary focus, you'll also serve as the department's product information specialist by maintaining accurate pricing, product details, marketing information, and showroom displays that help our entire team succeed.

This position is ideal for someone who enjoys balancing customer interaction with detailed project work in a fast-paced office environment.

What You'll Do:

Customer Service (Primary Focus)

Welcome and assist walk-in customers.
Answer incoming phone calls and direct customers to the appropriate salesperson.
Respond to customer inquiries received through email, Salesforce, website forms, and social media.
Process customer pickups and payments.
Assist customers with small orders, engraving requests, and showroom purchases.
Help customers select products and gather information needed for custom orders.
Follow up on quotes, proofs, invoices, and order approvals.
Resolve customer questions with professionalism and a positive attitude.

Office & Administrative Support

Enter and maintain simple customer orders.
Process invoices and customer payments.
Calculate shipping charges and prepare final invoices for cash orders prior to shipment.
Maintain customer accounts and records.
Open and distribute incoming mail.
Process mailed customer payments.
Support daily office operations and administrative projects.
Assist with cross-trained customer service duties to ensure uninterrupted coverage.

Product Information & Pricing (Specialty Area)

Maintain accurate product pricing.
Update vendor costs and pricing as needed.
Review catalogs, flyers, and marketing materials for pricing accuracy.
Maintain product descriptions, images, and specifications.
Update showroom pricing and product displays.
Assist with pricing templates and product organization projects.
Ensure consistency of product information across company systems.

What We're Looking For

Excellent customer service and communication skills.
Strong attention to detail.
Highly organized and dependable.
Advanced proficiency in Microsoft Excel, including formulas, data organization, and spreadsheet management.
Comfortable learning multiple computer systems.
Ability to manage several projects while maintaining accuracy.
Basic math skills and confidence processing payments.
Positive attitude and willingness to help wherever needed.

Preferred (Not Required)

Customer service experience.
Office administration or administrative assistant experience.
Experience with invoicing, payment processing, or bookkeeping.
Experience with pricing, inventory, or product information.
Experience in awards, promotional products, printing, apparel, or manufacturing.
Familiarity with Salesforce, ERP systems, or POS software.
