Job Summary

We are seeking a dynamic and highly organized Event Coordinator to lead the planning, execution, and management of a diverse range of events. This energetic role requires a proactive individual who thrives in fast-paced environments, excels at building relationships, and possesses a passion for creating memorable experiences. As an Event Coordinator, you will oversee all aspects of event logistics, client communication, and team collaboration to ensure each event exceeds expectations. Your expertise in event marketing, budgeting, and vendor negotiations will be instrumental in delivering successful events that align with our organizational goals.

Duties

Collaborate with clients and internal teams to understand event objectives, themes, and requirements
Develop comprehensive event plans including timelines, and resource allocation
Utilize event management software to streamline planning processes and track progress
Lead team members and vendors during events to ensure smooth operations and exceptional guest experiences
Maintain strong client communication before, during, and after events to ensure satisfaction and gather feedback
Oversee post-event evaluations to identify areas for improvement and document best practices

Requirements

Proven experience in event planning or coordination within the hospitality or events industry
Strong Communication skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM systems for client management
Familiarity with event marketing techniques to promote events effectively
Experience using event management software and other technical tools for planning and execution
Exceptional customer service skills with the ability to communicate clearly with clients, vendors, and team members
Knowledge of catering operations, banquet services, hotel or restaurant experience is highly desirable
Ability to lead teams confidently while maintaining organizational efficiency under pressure
Hospitality industry experience including fundraising or guest services is a plus
