Job Overview

We are seeking a dynamic and highly organized Work From Home Office and Operations Coordinator to streamline our administrative functions and ensure seamless office operations remotely. This energetic role offers the opportunity to manage a variety of tasks including scheduling, vendor relations, event planning, and team support. The ideal candidate will excel in multitasking, communication, and technical proficiency, helping us create an efficient virtual workspace that promotes productivity and positive client interactions. Responsibilities

Coordinate and manage scheduling for team meetings, appointments, and events using calendar management tools to ensure optimal time utilization.
Oversee vendor relationships, including onboarding, communication, and contract management to maintain smooth operational workflows.
Assist with event planning activities such as webinars, training sessions, and team-building events from start to finish.
Handle administrative duties including filing, data entry, bookkeeping, and maintaining confidential information with integrity.
Support human resources functions such as onboarding new team members, managing payroll processes through financial software like QuickBooks, and tracking employee records.
Manage office supplies inventory, order necessary materials, and ensure all equipment is functioning properly in a virtual environment.
Facilitate communication between clients and internal teams through email correspondence, phone etiquette, and multi-line phone systems to ensure excellent customer service.

Qualifications

Proven experience in office management or administrative roles with a focus on remote or virtual environments.
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with spreadsheets for budgeting and bookkeeping purposes.
Experience with accounting software such as QuickBooks or similar financial tools.
Excellent communication skills—both written and verbal—and professional phone etiquette.
Demonstrated ability to handle confidential information responsibly while maintaining discretion.
Background in event planning, vendor management, or human resources is highly desirable.
Familiarity with office experience tools such as multi-line phone systems, calendar management software, and basic technical troubleshooting.
