Full Job Description

Life With Dignity is looking for a full time Financial and Administrative Coordinator within our growing business based in our St. Charles, IL headquarters. Our team of Financial and Administrative Coordinators work supporting our clients both in office and at client field environments throughout the Chicago area. Life With Dignity delivers advocacy and support for individuals dealing with disabilities or challenges due to illness or incapacity. We assist clients through health, psychosocial, financial, and residential needs, taking pride in going the extra mile for them and their families.

Our Estate Management services include coordination of Advocacy, Financial Life/Care Planning, facilitating Estate Management, serving as Agent under the power of attorney, Executor, Trustee and Guardian of the Estate services.

The Financial and Administrative Coordinator reports to the Director of Estate and Property Management (DCM) and delivers effective, client-focused, and profitable results in collaboration with our Case Management, Property Management, and other Estate Management teams.

The ideal candidate brings extensive experience serving the elder and disabled communities delivering effective coordination within interdisciplinary environments including healthcare, legal, and asset management systems. Your high sense of duty and integrity will align with Life with Dignity’s commitment to excellence in communications with others - both externally and internally.

You will bring comprehensive knowledge-based experience with Trusts, Guardianship and Executor Functions as well as Insurance Benefits including Medicaid / Medicare. Customer Service acumen in working with individuals with mental health challenges and cognitive deficiencies would be of great benefit to our team and our clients.

Success in this role is achieved by taking ownership of assigned Estates and effectively serving in the designated fiduciary or support role to help clients reach their goals in alignment with LWD’s core values.

Day to day responsibilities include executing tasks accurately and in a timely manner, maintaining consistent progress on active Estates, ensuring thorough documentation in designated systems, and prioritizing communication and collaboration with the Director of Estate Management and the Estate and Property Management team to support optimal client outcomes. Representing clients and Life With Dignity in court, staying current and facilitating court required deadlines on behalf of client is a critical piece for this role.

● Serve as representative for clients and Life With Dignity at court appointed hearings, off site client environments and as required to serve the financial or property asset management needs for annual accounting or status updates in complex estate matters.

Initiate and follow up timely on communications between the Case and Property Management team to ensure effective client focused results that leverage both client needs and financial resources.
Ensure proper procedures and documentation in all efforts to stay compliant, protective of client needs, and profitability.
Maintain current professional working knowledge of guardianship laws and processes, including roles and responsibilities of court-appointed guardians as pertains to Life With Dignity clients.
Facilitate successful coordination with guardians, conservators, attorneys, and court representatives to ensure compliance with life/care plans and legal directives.
Daily maintain timely, accurate and complete documentation and billable notes while staying consistent with court reporting and regulatory requirements.
Maintain collaborative relationships for services across financial and benefit providers, community agencies, and internal departments.
Request and facilitate completion of proper documentation and applications for medical care, behavioral health services, housing support, financial assistance, or protective services for clients in collaboration with specific Case Manager.
Concurrent documentation of all interdisciplinary coordination and financial outcomes.
Participate as a part of LWD team to meet or exceed company goals while embodying professionalism and LWD’s core values in all efforts and interactions.
Attend all assigned meetings, prepared and timely.

Requirements:

● Account / Estate Management experience within disability/elderly community - Min 4 yrs

● Experience managing client accounts and estates of ten or more at the same time.

● Experience collaborating with individuals with their financial and legal advisors.

● Ability to professionally appear before court

● Professional Knowledge-based experience with guardianship/conservatorship, Min 1 yr

● Professional knowledge-based experience of Medicare/Medicaid benefits and social security, Min 2 yrs.

● High level of Integrity / honesty

● Compassionate

● Excellent communication – verbal and written.

● Logistical excellence in time management and follow up processes regarding financial well being and services.

● Excellence with Budgetary constraints and authorization approval processes

● Excellent skills using online solutions including, but not limited to; email, government and agency systems, project management, etc.

Prefer, though not required:

· Medicare/Medicaid certification

· Guardianship Certification or equivalent knowledge

The full-time positions compensated $50 – 56K annually.
