Full Job Description

Position Title: Billing Clerk / Accounts Receivable Specialist/ Accountant

Department: Accounting & Finance

Reports To: Controller

FLSA Status: Non-Exempt / Full-Time

Location: On-site, Tampa, FL

Position Overview

We are seeking an accurate, detail-oriented Billing Clerk / Accounts Receivable Specialist to join our accounting team. In this role, you will be responsible for managing the daily invoicing cycle, cash applications, and customer account maintenance within a manufacturing environment.

The ideal candidate understands complex billing structures—including progress billing, freight charges, and bill-of-lading reconciliations—and thrives in a fast-paced environment where precise communication between production, shipping, and customer accounts is critical.

Key Responsibilities

Invoicing & Revenue Recognition

Review sales orders, bills of lading (BOLs), packing slips, and shipping documents to generate and issue accurate customer invoices daily.
Calculate line-item pricing, applicable sales tax, freight charges, discounts, and custom order surcharges.
Process progress billings, milestone payments, and deposit invoices for custom manufacturing orders.
Research and resolve billing discrepancies by coordinating with sales, shipping, and customer service teams.

Accounts Receivable & Cash Application

Post daily cash receipts, including checks, ACH transfers, wire payments, and credit card transactions.
Reconcile customer accounts by matching payments against open invoices and subledger records.
Research and resolve short pays, unapplied cash, duplicate payments, and pricing disputes.
Maintain clean accounts receivable aging records and prepare weekly AR status updates.

Credit & Collections

Monitor open accounts for past-due balances and initiate professional collection communications via phone and email.
Monitor customer credit limits and flag accounts for credit holds when necessary.
Issue credit memos and debit adjustments with proper management approval.
Assist in establishing new customer credit profiles and conducting trade references.

Compliance, Auditing & Administrative

Maintain organized electronic and physical files for invoices, BOLs, tax exemption certificates, and customer contracts.
Assist with month-end closing activities, including AR subledger-to-general ledger reconciliations.
Provide documentation for internal audit reviews, annual financial audits, and sales tax filings.
Perform general office accounting tasks and support special projects as assigned.

Qualifications & Skills

Required:

Experience: 2–4 years of high-volume billing and accounts receivable experience, preferably in a manufacturing, distribution, or job-cost environment.
Education: High school diploma or GED required; Associate degree in Accounting, Finance, or Business Administration preferred.
Software: Proficiency with ERP/accounting software systems (e.g., Macola, SAP, NetSuite, QuickBooks Enterprise, or similar) and Microsoft Excel (intermediate: VLOOKUPs, pivot tables, sumifs).
Attention to Detail: High accuracy in data entry and strong mathematical skills.
Communication: Clear, professional verbal and written communication skills for interacting with external clients and internal department heads.

Preferred:

Familiarity with manufacturing accounting workflows, inventory movement, and sales tax compliance across multiple jurisdictions.
Knowledge of Electronic Data Interchange (EDI) billing processes and customer vendor portals.

Working Conditions & Physical Requirements

Standard office setting with prolonged periods of sitting at a desk and working on computers.
Occasional lifting of files or accounting records up to 15 lbs.
