Full Job Description

BILLING and INTAKE SPECIALIST

Under the general supervision of the Deputy Chief Operating Officer, the Billing and Intake Specialist is responsible for performing intake, billing and authorization responsibilities for the Lakeridge Village Program.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

· Prepares, submits, and follows up on SUD claims to ensure Lakeridge Village receives payment for billable services

· Verifies patient information and insurance coverage before billing.

· Inputs billing codes, treatment codes, and diagnostic codes into DWIHN and NextStep.

· Monitors submitted claims for status updates, follows-up on unpaid claims, and initiates appeals for denied claims within standard billing cycle timeframes.

· Conduct billing audits.

· Serves as the first point of contact for clients, answering inquiries and providing information about available services.

· Gathers and records essential client data, including personal details, medical histories, and consent forms, ensuring accuracy and confidentiality.

· Maintains thorough records of client interactions and ensures all necessary documentation is completed and up-to-date.

· Evaluates client needs to determine eligibility for services.

· Verifies information such as income or insurance coverage.

· Processing intake forms, consent documents, and any required disclosures.

· Inputs client data into the electronic health record system

· Provides essential information to clients about the services, procedures, and protocols of the SUD program.

· Oversees rental payments for Lakeridge Management.

· Receives and logs all incoming mail and correspondence.

· Receives intake calls.

· Puts clients on the calendar for admission into the Lakeridge Village program.

· Ensures that all intake forms are complete.

· Ensures that all authorizations and admissions are complete.

· Runs reports detailing Lakeridge client count.

· Runs reports detailing missing admissions, authorizations and notes.

· Verifies that billable notes are documented in NextStep and DWIHN.

· Oversees the Intake Specialist and assists the authorization clerk.

· Performs related duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES (KSA’S)

· Knowledge of Lakeridge Village policies, procedures and practices.

· Knowledge of the Michigan Mental Health Code.

· Knowledge of MDHHS policies, rules, regulations and procedures.

· Knowledge of Federal policies, rules, regulations and procedures as it relates to DWIHN.

· Knowledge of MHWIN.

· Knowledge of Medical Necessity Criteria for Behavioral Health Services.

· Knowledge of the Federal Confidentiality Regulations, 42 CFR, Part 2.

· Knowledge of the identification and treatment of co-occurring mental health and substance use disorders.

· Knowledge of billing codes.

· Knowledge of billing procedures and practices.

· Knowledge of intake policies and procedures.

· Knowledge of authorization policies and practices.

· Supervisory skills.

REQUIRED EDUCATION:

A High School Diploma, GED, or equivalent.

REQUIRED EXPERIENCE:

Two (2) years of professional experience performing billing services for a social service, human service, or mental health agency.

AND

One (1) year of full-time paid experience performing authorization and intake duties and responsibilities for a social service, human service, or mental health agency.

NOTE: Education completed at a recognized college, university or trade school may be substituted for required experience on a year for year basis.

REQUIRED LICENSE(S).

A valid State of Michigan Driver’s License with a safe and acceptable driving record.

WORKING CONDITIONS

Work is performed in an office setting.
