Job Title: International Recruitment Coordinator

Position Summary:

**FULL TIME-IN HOUSE**

Since 2003, ADEX Medical Staffing has supported international healthcare professionals worldwide in pursuing long-term U.S. hospital careers. To deliver on this mission, strong operational support is essential. As an International Recruitment Coordinator you will help to support various different segments of the international operations, such as recruitment, immigration and other healthcare professional relations.

The International Recruitment Coordinator provides administrative and operational support for the organization's international nurse recruitment and immigration programs. This position is responsible for coordinating recruitment activities, preparing immigration and embassy documentation, maintaining accurate records, monitoring application timelines, and serving as a liaison between candidates, internal departments, and external agencies. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment while maintaining.

Key Responsibilities, including but not limited to:

Administrative Support & Coordination

- Maintain organized records, schedules, and program resources.
-Manage correspondence, prepare reports, and coordinate logistics for hiring activities.
-Facilitate interview and/or clinical assessment scheduling.
-Assist in preliminary screening processing of candidates.
-Provide operational support to leadership in day-to-day activities.
-Prepare, review, and compile documentation for registered nurses' (RNs) USCIS immigration petitions and related immigration processes, ensuring accuracy and completeness.
-Coordinate international interviews, recruitment events, and virtual meetings, including extensive calendar management for multiple stakeholders across different time zones.
-Maintain program tracking reports, spreadsheets, databases, and recruitment files to ensure accurate and up-to-date records.
-Prepare embassy interview packets for RNs and schedule embassy preparation calls.
-Prepare dependent application packages and supporting documentation for embassy interviews.
-Monitor government and immigration application timelines and proactively follow up to ensure all deadlines and required documentation are met.
-Schedule and facilitate follow-up meetings with nurses and ensure all action items and deliverables are completed.
-Collaborate with recruiters, immigration specialists, healthcare facilities, attorneys, and external vendors to support the successful recruitment and onboarding of international nurses.

Data Management & Reporting

-Develop and maintain databases, spreadsheets, and dashboards to track program performance.
-Generate accurate and timely reports for monitoring outcomes and metrics.
-Coordinate and manage payments for select licensing application types.
-Ensure data integrity, confidentiality, and compliance with organizational standards.

Process Improvement & Documentation

-Identify inefficiencies in workflows and recommend evidence-based solutions.
-Document standard operating procedures (SOPs) for recurring administrative functions.

Leadership Engagement

-Coordinate cross-team activities to ensure effective program delivery.
-Coordinate with immigration teams both internal and at law offices for ongoing candidate file preparations.
-Communication with overseas team members, government agencies, boards of nursing, etc. will be required.
-Support communication efforts, including preparation of professional presentations and reports.

Qualifications:
-Previous experience in an immigration law firm is a plus.
-Previous experience in international staffing is a plus.
-Associate's degree required; Bachelor's degree in Business Administration, Human Resources, Healthcare Administration, or a related field preferred.
-Minimum of 2 years of administrative, recruitment, healthcare, immigration.
-Experience coordinating multiple projects and managing competing priorities.
-Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and Google Workspace.
-Experience working with applicant tracking systems (ATS), databases, or case management systems is preferred.
-Demonstrated organizational, problem-solving, and critical-thinking skills.

Preferred Qualifications

-Experience in international staffing recruitment programs.
-Experience working in healthcare sector
-Knowledge of USCIS immigration processes and employment-based visa documentation.
-Experience coordinating with international candidates and multicultural teams.
