About The Company:

We are an established New Jersey-based plumbing, HVACR, mechanical contracting and energy efficiency company seeking a professional, organized, and dependable Office Manager/Administrative Assistant to support daily operations in a fast-paced office environment. The company is a service based business, serving customers in the middle Atlantic area.

The ideal candidate is detail-oriented, proactive and capable of managing multiple responsibilities while maintaining professionalism and efficiency.

The company's growth plan is to double in size and operations over the next 12 - 24 months.

Job Description:

We are seeking a dynamic and highly organized and motivated Office Manager, Administrative Assistant to join our team! This vital role combines office management with administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will manage front desk responsibilities, coordinate and manage service technician schedules, handle correspondence, and support various administrative functions to keep our office running efficiently and professionally and develop and implement an efficient equipment procurement system, while managing cashflow. This position offers an exciting opportunity to contribute to a vibrant work environment while utilizing your diverse skill set. Specifically, we are seeking an individual to:

Oversee daily office operations and workflow,

Efficiently dispatch service technicians to multiple jobsite locations on a daily basis, including next day workload,

Efficiently generate service invoices and deliver them to customers on a timely basis,

Answer phones, manage emails, coordinate communication with customers and technicians,

Assist with scheduling and administrative tasks,

Inventory control and develop and implement project purchasing

Handle billing, invoicing, and payment tracking,

Manage Accounts Receivable and provide ownership with accurate cashflow projections,

Maintain organized records, files, and office documentation,

Follow up on outstanding invoices and account matters,

Work with accounting to monitor and report on individual project costing and profitability,

Support ownership with operational and office management needs,

Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents,

Help maintain a productive, professional office environment.

Qualifications

Previous office management, administrative, or billing experience preferred,

Experience with project monitoring software and spreadsheet analyses (specifically Excel)

Strong organizational and multitasking skills,

Comfortable handling billing systems, invoices, and payment records,

Professional communication skills,

Oversee calendar management for staff appointments, meetings, and deadlines with precision,

Ability to work independently and stay organized in a busy environment,

Experience with Microsoft Office, QuickBooks, or similar systems preferred,

Reliable, detail-oriented, and solution-focused.

We are seeking someone dependable, professional, and motivated who can help keep daily office operations running smoothly and efficiently. The ideal individual will keep ownership abreast of project profit/loss, will be involved in daily meetings with project partners, monitor individual project progress (including any significant delays or obstacles encountered).
