About the Position
Amerimax Pest Management is hiring a dependable, personable, and highly organized Customer Service & Office Coordinator to support our customers, technicians, and growing office operations.
This position will begin as a Full-Time hybrid role, primarily working from home with approximately one scheduled day per week in our Logan office (negotiable). As the position and company grow, the role is expected to transition into a potential Office Manager position based on performance and business needs.
This is an important customer-facing position. You will often be the first person a customer speaks with, so we are looking for someone who communicates confidently, listens carefully, follows through, and helps customers feel that they are in capable hands.
Previous office, customer service, sales, door-to-door, or pest control experience is helpful, but it is not required. We are willing to train the right person who demonstrates strong character, dependability, initiative, and a genuine desire to help people.
Primary Responsibilities
Customer Service and Communication
- Answer incoming customer calls, texts, emails, and website inquiries promptly and professionally
- Listen carefully to customer concerns and ask appropriate questions to understand their needs
- Explain Amerimax services, preparation instructions, pricing, agreements, and company policies using approved and accurate information
- Avoid guessing about services, warranties, pricing, or policies and confirm information when necessary
- Respond calmly and respectfully to questions, complaints, and schedule changes
- Follow up with customers after service and ensure concerns are properly documented and resolved
- Build lasting customer relationships through clear communication, kindness, and consistent follow-through
Scheduling and Technician Support
- Schedule, confirm, reschedule, and cancel pest management appointments
- Coordinate technician schedules, routes, and daily service changes
- Communicate customer notes, access instructions, service concerns, and follow-up needs to technicians
- Help technicians maintain efficient routes and complete scheduled work
- Review appointments and records for missing or inaccurate information
- Assist with technician time-clock records and communicate missed or incorrect punches when needed
CRM and Documentation
- Enter and maintain accurate customer, property, service, and appointment information in FieldRoutes
- Document customer conversations, service requests, account changes, and follow-up commitments
- Maintain clean, complete, and organized customer records
- Review documentation for accuracy before closing or updating accounts
- Help prepare customer communications, reports, service documents, and internal materials
Billing and Administrative Support
- Process customer payments and assist with routine billing questions
- Support invoicing and payment follow-up
- Correct missing or inaccurate job numbers, purchase-order details, and invoice information
- Resubmit invoices or supporting documentation when needed
- Assist with basic QuickBooks-related office and billing processes
- Help prepare county, regulatory, and product-usage reports
- Maintain organized digital files and protect confidential customer, employee, and company information
- Assist ownership with general administrative, HR, payroll-support, and office tasks
Sales, Retention, and Growth
- Follow up with prospective customers and help turn qualified inquiries into scheduled inspections or services
- Make reminder, retention, renewal, and follow-up calls as assigned
- Communicate the value of recurring pest management clearly and without high-pressure tactics
- Identify opportunities to help residential, commercial, property-management, restaurant, and multi-unit customers
- Assist with customer-review requests, basic marketing activities, and customer outreach
- Recommend practical improvements to office procedures as the company grows
Required Qualifications
- Strong verbal and written communication skills
- Excellent customer service and telephone etiquette
- Dependable, punctual, accountable, and able to maintain a consistent schedule
- Organized, detail-oriented, and committed to accurate documentation
- Comfortable learning new software and working with computers, email, calendars, and online systems
- Able to work independently from home while remaining responsive and accountable
- Able to manage multiple priorities without losing track of customer commitments
- Willing to ask questions rather than provide customers with uncertain or inaccurate information
- Able to accept feedback, learn from mistakes, and take ownership of assigned responsibilities
- Able to commute to our Logan office approximately once per week initially and regularly after the position transitions onsite
- Reliable internet access and an appropriate, distraction-controlled workspace during remote hours
- Authorized to work in the United States
Preferred, but Not Required
- Previous receptionist, secretary, administrative assistant, dispatcher, or office experience
- Pest Control Experience in any capacity
- Customer service, call-center, appointment-setting, or inside-sales experience
- Door-to-door sales or other direct customer-contact experience
- Pest control, property management, or home-services industry experience
- Experience with FieldRoutes or another field-service CRM
- Experience with QuickBooks, Microsoft Office, Google Workspace, or similar programs
- Experience with scheduling, routing, invoicing, payment processing, or regulatory reporting
- Previous leadership, training, or supervisory experience
- Spanish-language skills
