Full Job Description

Spring Creek Counseling is looking for a warm, dependable, and compassionate Remote Receptionist / Patient Care Coordinator to be the first point of contact for individuals reaching out for counseling services.

For many of our clients, contacting us may be their first step toward getting help. We are looking for someone who can make that experience feel comfortable, welcoming, and easy. The ideal candidate is an excellent communicator who is organized, responsive, and sensitive to the fact that clients may be reaching out during difficult or vulnerable moments.

Responsibilities

Respond to incoming phone calls, text messages, and emails from prospective and current clients
Help new clients feel welcomed, heard, and comfortable as they contact our practice
Gather basic information from prospective clients and help connect them with the therapist who best fits their needs
Schedule new patient appointments and manage therapist calendars
Respond to common questions about scheduling, availability, services, and the intake process
Follow up with prospective clients when needed to help them complete the scheduling process
Assist current clients with appointment-related questions or scheduling changes
Maintain accurate client and scheduling information
Communicate professionally with therapists and other team members
Handle confidential client information with discretion and follow established privacy procedures
Help create a smooth, responsive experience from a client's first contact through their first appointment

Who We're Looking For

You may be a great fit if you are:

Naturally warm, friendly, and comfortable talking with people
Empathetic and sensitive to individuals who may be experiencing stress, anxiety, relationship difficulties, or other personal challenges
An excellent communicator by phone, text, and email
Organized and able to keep track of multiple conversations and scheduling needs
Reliable and responsive while working remotely
Comfortable learning scheduling and practice-management software
Able to communicate professionally while still sounding human and approachable
Detail-oriented and able to accurately document client information
Comfortable working independently and taking initiative
Respectful of client confidentiality and privacy

Previous receptionist, customer service, healthcare, counseling-office, or administrative experience is helpful, but we are especially interested in finding someone with the right personality, communication skills, and ability to make people feel cared for.

Compensation

$15–$17 per hour, depending on experience.
