Job Overview
We are seeking a dynamic and energetic Event Coordinator to lead the planning, organization, and execution of a diverse range of events. In this role, you will be the driving force behind creating memorable experiences for clients and guests by managing every detail from initial concept to final wrap-up. Your passion for hospitality, exceptional organizational skills, and ability to negotiate and upsell will ensure each event exceeds expectations. This paid position offers an exciting opportunity to showcase your expertise in event marketing, customer service, and hospitality management while contributing to the success of our vibrant events team.

Responsibilities

Collaborate with clients to understand their vision, needs, and budget for each event, providing expert guidance throughout the planning process
Develop comprehensive event plans covering logistics, catering, entertainment, décor, and venue arrangements
Negotiate contracts with vendors, venues, caterers, and suppliers to secure favorable terms while maintaining quality standards
Coordinate all aspects of event setup and breakdown, ensuring timely execution.
Manage budgets effectively by tracking expenses, controlling costs, and identifying opportunities for upselling additional services or upgrades
Oversee event marketing efforts to promote upcoming events through various channels and maximize attendance
Provide exceptional guest services during events by addressing needs promptly and ensuring a welcoming atmosphere
Maintain clear communication with all stakeholders including clients, vendors, staff, and venue management to ensure seamless operations
Conduct post-event evaluations to gather feedback for continuous improvement and future planning

Qualifications

Proven experience in event planning or management within hospitality settings such as restaurants, hotels, or banquet facilities
Strong negotiation skills with the ability to secure contracts that benefit both clients and organization
Excellent marketing acumen with knowledge of event marketing strategies to boost visibility and attendance
Demonstrated ability in upselling additional services or upgrades to enhance event revenue
Exceptional customer service skills with a focus on guest satisfaction and hospitality excellence
Effective time management skills capable of juggling multiple events simultaneously under tight deadlines
Familiarity with budgeting processes and financial management for events
Strong communication and organizational skills to coordinate teams and manage logistics smoothly
Previous banquet experience or restaurant/hotel experience is highly desirable
Knowledge of contracts, catering operations, fundraising activities, and guest services is advantageous
