Job Title: Office Assistant – Property Management
Position Summary:
Trinity Management Inc. is seeking a reliable, organized, and professional Office Assistant to support the daily operations of our growing property management company. The ideal candidate will have prior property management experience, excellent communication skills, and the ability to multitask in a fast-paced environment while maintaining a high level of professionalism with tenants, vendors, and staff.
Responsibilities:
- Answer incoming phone calls and assist tenants, vendors, and prospective residents.
- Respond to and monitor office emails and portfolio-specific email accounts.
- Maintain communication with tenants regarding maintenance requests, rent inquiries, notices, and general concerns.
- Prepare and process notices, including but not limited to:
- Three-Day Notices
- Cure or Quit Notices
- Inspection Notices
- Entry Notices
- Eviction-related correspondence
- General tenant communications
- Assist with tracking balance dues and following up with delinquent accounts.
- Monitor and update eviction files and communicate with attorneys when necessary.
- Manage assigned city portfolios and maintain accurate tenant records.
- Collect and record rent payments and prepare payment logs.
- Maintain filing systems for tenant files, leases, notices, invoices, and vendor documentation.
- Prepare spreadsheets and reports related to rents, vacancies, maintenance, and collections.
- Coordinate maintenance requests and communicate scheduling updates with tenants and vendors.
- Assist with move-ins, move-outs, lease renewals, and tenant documentation.
- Organize office records, keys, and property files.
- Provide administrative support to management as needed.
- Maintain confidentiality of tenant and company information.
- Perform additional duties as assigned.
Qualifications:
- Previous property management experience preferred.
- Experience working directly with tenants and handling difficult situations professionally.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to prioritize tasks and meet deadlines.
- Strong attention to detail.
- Bilingual (English/Spanish) preferred.

Responsibilities:
- Advertise and market available rental units.
- Manage listings through Zillow Rental Manager and other online rental platforms.
- Respond promptly to leasing inquiries via phone, email, text, and social media.
- Schedule and conduct property showings.
- Follow up consistently with prospective tenants to maximize occupancy.
- Screen applicants and assist with the application process.
- Verify required documentation, including income, identification, and supporting paperwork.
- Coordinate lease signings and move-in procedures.
- Maintain accurate records of leads, applications, deposits, and leases.
- Create and manage social media content to promote available units and increase exposure.
- Develop marketing strategies to generate qualified leads.
- Meet leasing goals and occupancy targets established by management.
- Build positive relationships with prospective and current residents.
- Stay informed on current rental market trends and pricing.
- Ensure compliance with Fair Housing laws and company policies.
- Work weekends and flexible hours as needed to accommodate showings.
- Perform additional duties assigned by management.
Qualifications:
- Previous leasing or real estate experience preferred.
- Experience using Zillow Rental Manager is required.
- Strong sales background with proven ability to close deals.
- Experience with social media marketing, including Facebook, Instagram, and other advertising platforms.
- Excellent customer service and communication skills.
- Strong negotiation and follow-up abilities.
- Organized, detail-oriented, and self-motivated.
- Ability to work independently and as part of a team.
- Basic computer proficiency, including Microsoft Office and email communication.
- Bilingual (English/Spanish) preferred.
