Full Job Description

We are seeking an experienced Accounting & Administration Manager to join our fast-paced third-party logistics (3PL) operation. This is a hands-on leadership position requiring a strong accounting background combined with proven employee management, HR, and office leadership experience.

The ideal candidate is a confident and organized leader who can manage employees, establish priorities, hold staff accountable, and ensure deadlines are consistently met. This individual must also possess strong accounting knowledge and be capable of independently handling and reviewing accounting functions.

This position will work directly with senior management and closely with the Controller while providing day-to-day leadership and direction across the office.

Key ResponsibilitiesLeadership & Office Management

Provide day-to-day leadership and direction to accounting and office staff
Manage employee performance, productivity, attendance, and accountability
Establish daily priorities, delegate responsibilities, and ensure deadlines are met
Train, coach, and develop employees
Address performance, attendance, and workplace issues promptly and professionally
Conduct employee meetings, performance reviews, and corrective action discussions as needed
Ensure company policies, procedures, and customer requirements are consistently followed
Maintain strong communication between accounting, customer service, warehouse operations, and senior management
Identify workflow, communication, and staffing issues and implement solutions
Provide leadership and make appropriate day-to-day decisions when senior management is unavailable

Accounting & Finance

Oversee accounts payable and accounts receivable functions
Review vendor invoices, payments, and weekly check runs
Monitor customer aging, collections, and payment discrepancies
Review cash applications, bank deposits, and general ledger activity
Prepare and review bank and account reconciliations
Prepare and review journal entries
Assist with month-end and year-end closing
Support financial reporting and account analysis
Review accounting transactions and supporting documentation for accuracy
Assist with payroll-related accounting and reporting
Maintain and prepare 1099 information
Assist the Controller and senior management with audits, reporting, and special projects
Identify opportunities to improve accounting procedures and internal controls

3PL Billing & Operational Support

Oversee and support customer billing in a high-volume 3PL environment
Ensure warehouse services, labor, storage, handling, value-added services, transportation-related charges, and other billable activities are accurately captured and invoiced
Review billing discrepancies and coordinate with operations and customer service to resolve issues
Assist with customer rate setup and ensure billing is consistent with approved rate agreements
Monitor unbilled services and follow up to ensure revenue is captured timely
Work with warehouse and customer service teams to ensure operational activity is properly documented for billing
Review customer deductions, disputes, credits, and other account discrepancies
Help establish controls to minimize missed billing and revenue leakage

Human Resources & Staffing

Assist with recruiting, interviewing, hiring, onboarding, and employee separations
Support employee relations and workplace matters
Manage attendance, time-off requests, employee documentation, and personnel records
Assist with performance management, disciplinary actions, and corrective action documentation
Coordinate employee benefits administration
Work closely with temporary staffing agencies regarding staffing levels, payroll reporting, attendance, employee performance, and other issues
Review temporary labor hours and related agency billing for accuracy
Assist management with workforce planning based on operational needs
Help maintain compliance with company policies and applicable employment requirements
Maintain confidentiality of employee, payroll, customer, and company information

Qualifications

Minimum 5 years of progressive accounting experience
Minimum 3 years of direct supervisory or management experience
Strong knowledge of AP, AR, general ledger, reconciliations, journal entries, and month-end close
Proven ability to manage employees and maintain accountability
Hands-on HR and employee relations experience strongly preferred
Experience working in a 3PL, warehouse, distribution, transportation, manufacturing, or similar fast-paced operational environment preferred
Experience with high-volume customer billing strongly preferred
Strong understanding of labor costs, billing accuracy, and operational profitability
Strong decision-making, problem-solving, and follow-through skills
Ability to manage multiple priorities and deadlines
Strong written and verbal communication skills
Advanced proficiency in Microsoft Excel
Experience with accounting, ERP, WMS, or other business management systems preferred
Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred

This is not solely an accounting position. We are looking for a strong, hands-on manager who can combine accounting knowledge with leadership, HR, and operational awareness.

The successful candidate must be comfortable managing employees, addressing issues directly, making decisions, enforcing accountability, and working across departments in a fast-moving 3PL environment.

The right individual will understand that accounting and operations are closely connected and will take ownership of ensuring the office operates efficiently, accurately, and with appropriate follow-through.
