Vortech Mechanical Corp. is an established and growing commercial HVAC contractor with more than $10 million in annual revenue and three core departments—Accounting, Service, and Installations.
We're looking for a highly organized and experienced accounting professional who can be deeply involved in the books while also helping bring structure and organization to the business as a whole.
If you've spent the last several years as a Full-Charge Bookkeeper, Senior Bookkeeper, Staff Accountant, Accounting Manager, Assistant Controller, or similar accounting professional and are ready for greater responsibility, this may be the opportunity you're looking for.
The core of this position is accounting and financial operations. You'll be hands-on with the books, reconciliations, AP/AR, financial reporting, month-end processes, and maintaining accurate financial records.
At the same time, because you'll work directly with ownership and interact with multiple departments, you'll also help improve the administrative processes and workflows that ultimately impact Accounting.
We're looking for someone who can understand the numbers, keep the books clean, create organization, and help us build stronger financial and administrative infrastructure as the company grows.
The Opportunity
As our Assistant Controller / Full-Charge Bookkeeper, you'll take an active role in the day-to-day accounting and financial operations of the company.
You'll work across accounts payable, accounts receivable, billing, reconciliations, general ledger activity, financial reporting, job-related accounting, and month-end processes while maintaining a strong understanding of what's happening throughout the business.
You'll also work directly with ownership on financial, accounting, and organizational priorities.
Because Accounting connects with nearly every part of our operation, you'll coordinate with our Service and Installation departments to make sure documentation, purchasing information, billing information, approvals, and other financial data flow properly through the company.

Core Accounting & Financial Responsibilities
- Manage and support the company's day-to-day accounting and bookkeeping functions.
- Maintain accurate general ledger records and ensure transactions are properly recorded and classified.
- Manage and review accounts payable and accounts receivable.
- Oversee customer invoicing, payment application, collections, and account reconciliation.
- Review vendor invoices, purchase documentation, payments, and related accounting records.
- Perform bank, credit card, and general ledger reconciliations.
- Assist with and help oversee month-end and year-end closing procedures.
- Prepare recurring financial reports and provide ownership with accurate, timely financial information.
- Maintain balance sheet schedules and supporting documentation.
- Help maintain accurate job, project, and departmental financial information.
- Identify discrepancies, missing information, and accounting issues and follow them through to resolution.
- Monitor outstanding receivables and help maintain healthy collection processes.
- Support cash-flow visibility and other recurring financial reporting.
- Assist with payroll-related accounting and coordination as needed.
- Coordinate with outside accountants, CPAs, payroll providers, insurance representatives, and other financial partners.
- Maintain organized and audit-ready financial records.
- Help establish and maintain strong internal controls and accounting procedures.
- Assist ownership with financial analysis, reporting, and special projects.
Administrative & Operational Responsibilities
Accounting will remain the primary focus of this position, but we're also looking for someone who can help create organization around the processes that feed into it.
This may include:
- Work directly with ownership on financial, administrative, and organizational priorities.
- Coordinate with Accounting, Service, and Installations to ensure information and documentation move efficiently between departments.
- Help create healthy, repeatable workflows for billing, purchasing, approvals, documentation, collections, and other accounting-related processes.
- Help document and standardize internal procedures.
- Track important open items and follow through with the appropriate team members until they're resolved.
- Identify administrative bottlenecks, communication gaps, and processes that are creating accounting problems downstream.
- Help ownership improve accountability and organization across departments.
- Maintain organized company records and documentation related to financial and operational matters.
- Assist with higher-level administrative projects and company initiatives as needed.
This is not intended to be a traditional administrative assistant position. The administrative component of the role is focused primarily on improving organization, communication, and processes surrounding the company's financial operations.
Who We're Looking For
We're looking for someone who is strong in accounting first, but also has the organizational ability and business mindset to contribute beyond the books.
Our ideal candidate:
- Has 5+ years of bookkeeping, accounting, or financial operations experience preferred.
- Has strong hands-on experience with AP, AR, general ledger accounting, reconciliations, and month-end processes.
- Is highly proficient with QuickBooks or comparable accounting software.
- Is comfortable working extensively in Microsoft Excel.
- Understands what clean, accurate, and well-supported books should look like.
- Can investigate discrepancies rather than simply processing what's put in front of them.
- Is exceptionally organized and detail-oriented.
- Understands how operational processes affect accounting and financial reporting.
- Thinks in terms of controls, systems, workflows, and solutions.
- Can create structure where processes may currently be informal or inefficient.
- Is comfortable communicating directly with ownership and department leaders.
- Can manage deadlines and competing priorities without constant supervision.
- Takes ownership of responsibilities and follows through.
- Is willing to ask questions when something doesn't make sense.
- Can recognize an inefficient process and help develop a better way of doing it.
- Wants to understand how the business operates and how it makes money, not simply maintain the books.

Experience in HVAC, construction, mechanical contracting, property management, service businesses, or project/job-cost-based accounting is highly valued.
