The Role
We’re a permit-expediting firm supported by our affiliated civil engineering and land-use firm, with active commercial development projects across Long Island. We’re looking for an experienced specialist to run the procedural engine of our municipal land-use and permitting work -assembling applications, tracking deadlines and agency comments, and driving follow-up until approvals land.
This is a client management, multi-project tracking and reporting, coordination, and customer-service / relationship-development role. You’ll keep many matters moving at once and make sure nothing stalls at a town counter or in a reviewer’s queue.
What You’ll Do
- Prepare and assemble municipal permit and land-use applications (largely online portals)
- Gather and verify the information and documentation each application requires
- Track application status, deadlines, and plan-review comments across multiple projects
- Drive follow-up by email and phone with town/county reviewers, clients, and consultants
- Report project status on regular client team calls
- Build and maintain working relationships with a wide range of municipal and county personnel across multiple departments and jurisdictions
- Maintain organized project files and status logs in our project system
- Calendar and monitor submission deadlines, hearing dates, and permit renewals
You Must Have
- Project-management-related experience, ideally at a long island land-use, real estate, municipal, or zoning practice
- Familiarity with land-use procedures: ZBA, site plan review, special permits, building permits, certificates of occupancy (C of O), and related closeout support
- Strong organization and deadline discipline across many simultaneous matters
- Excellent written and phone communication - persistent, professional follow-up, with a likeable, high-energy personality
- Proficiency with Word, Excel, Microsoft Power BI
- A curious mindset and a strong desire to use automation to drive efficiency
- Comfort with online permitting portals and document management
- Familiarity with a CRM / project-management system
