About Well Within

Well Within Skin & Laser Center is a premier medical spa dedicated to helping our clients look and feel their best through personalized aesthetic treatments, medical-grade skincare, and exceptional patient care. As our practice continues to grow, we're looking for a highly organized, motivated, and personable professional to join our team as our Front Office & Administrative Specialist.

This is much more than a traditional front desk position. We're looking for someone who thrives in a fast-paced environment, enjoys multitasking, takes initiative, and is passionate about providing an exceptional client experience while supporting the daily administrative functions of the spa.

Position Summary

As our Front Office & Administrative Specialist, you will play a key role in the day-to-day success of the practice. From managing provider schedules and coordinating appointments to maintaining inventory, assisting with marketing initiatives, and educating clients on our medical-grade skincare lines, this position is ideal for someone who enjoys both organization and customer interaction.

Responsibilities:

Client Experience

Welcome clients and provide an exceptional, concierge-level experience from check-in to check-out
Answer incoming phone calls, texts, and emails professionally and efficiently
Schedule, reschedule, and confirm appointments for multiple providers
Optimize provider schedules while maintaining an efficient daily workflow
Process payments and maintain accurate patient accounts
Build lasting relationships with clients through outstanding customer service

Administrative Responsibilities

Open the spa each morning and prepare the office for daily operations; close and secure the spa at the end of the business day
Manage provider schedules, blocked time, and daily schedule adjustments
Order office, retail, and clinical supplies
Maintain inventory and ensure products and treatment rooms are fully stocked
Create purchase orders and assist with invoice processing
Work closely with leadership to support purchasing, inventory management, and accounts payable documentation
Maintain an organized, polished, and efficient front office environment

Retail & Product Knowledge

Become knowledgeable about our medical-grade skincare lines and aesthetic services
Educate clients on recommended home-care products based on provider treatment plans
Confidently recommend skincare products and help clients complete their personalized home-care regimen
Support retail sales by building trust, answering questions, and helping clients choose products that best meet their skincare goals

Marketing Support

Capture engaging photo and video content for social media
Assist with email and text marketing campaigns
Support the Marketing Director with social media content, promotions, and patient events
Assist with event planning, preparation, and day-of execution

Qualifications

Required

Excellent communication and customer service skills
Strong organizational skills with exceptional attention to detail
Ability to multitask and prioritize in a fast-paced environment
Professional appearance and positive attitude
Strong computer and technology skills
Ability to work independently while collaborating effectively with the team

Preferred

Previous experience in a medical spa, dermatology, plastic surgery, aesthetics, or healthcare office
Working knowledge of aesthetic treatments and medical-grade skincare
Retail sales or skincare consultation experience
Experience with inventory management and purchasing
Experience with PatientNow Essentials is a significant plus
Social media content creation experience is highly preferred
