Full Job Description

Job Summary

We are seeking a dynamic and highly organized Operations Specialist with a focus on senior living environments to join our team. In this vital role, you will oversee daily operational activities, coordinate vendor relationships, manage administrative functions, and ensure the smooth delivery of services within our senior living community. Your proactive approach and exceptional organizational skills will contribute to creating a welcoming, efficient, and well-managed environment for residents and staff alike. This position offers an exciting opportunity to lead operational initiatives, support team management, and uphold the highest standards of office and facility administration.

Primary Responsibilities:

1. Acts as Executive Director and is responsible for overall management of the community, staff, financials, and well-being of residents.

2. Reports to the Regional Director of Operations and works closely with our regional teams to identify challenges and create solutions.

3. Assists in the recruitment and retention of qualified staff and in the development and maintenance of a positive and supportive team atmosphere. May interview and recommend hiring qualified associates.

4. Provides assistance in the areas of marketing, outreach, resident admissions, resident assessments, and discharge procedures.

5. May assist with and/or conduct associate performance reviews as an Operations Specialist.

6. May assess the training needs for staff, and provide training as needed.

7. May assist in the resolution of budget discrepancies and variances.

8. Works to resolve issues identified by residents and/or their family members.

9. May assist clinical team to organize, develop, and conduct service plan reviews; supervises the maintenance of resident files; reviews documentation performed by resident care staff.

10. Travel required.

11. Recruit, hire and supervise all employees, and ensure adequate staffing.

Clinical/Psychological

1. Perform an in-depth psychosocial service assessment to determine the needs of the resident and family.

2. Provide ongoing counseling services to residents and families regarding issues including family communication, coping with stress, role changes, coping with Dementia, and coming to terms with the end of life.

3. Provide monthly opportunities for family counseling.

4. Engage the family in problem solving and conflict resolution.

5. Assist the family in learning new coping strategies.

6. Maintain knowledge of state regulations, Advance Directives, POA/DPOA issues and other related topics.

7. Assist with discharge planning or transfer arrangements as needed.

8. Develop and maintain a list of community resources and advise residents and families of the availability of community services.

9. Provide referrals to community resources for residents/families.

10. Create family and resident support groups as appropriate.

11. Provide community education and training regarding Dementia care.

12. Provide regular counseling opportunities to staff regarding issues such as: coping with stress, caregiver issues, coming to terms with the end of life and communication.

Qualifications

Proven experience in management or administrative roles within senior living or healthcare settings
Strong supervisory experience with the ability to lead teams effectively and foster a collaborative environment
Proficiency in financial software along with general accounting and bookkeeping skills
Excellent organizational skills with the ability to manage multiple priorities simultaneously in a fast-paced environment
Experience in event planning, vendor management, human resources functions including payroll processing, and client communication
Skilled in using Microsoft Office Suite (Word, Excel, Outlook) for documentation, scheduling, and reporting purposes
Exceptional communication skills paired with professional phone etiquette to interact confidently with residents, vendors, staff, and visitors
Ability to handle confidential information responsibly while maintaining high standards of professionalism
Strong technical proficiency in office equipment and financial software; experience with office management systems preferred
Texas Administrator's License required
