Job Summary

We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will serve as the backbone of our daily operations, ensuring that administrative tasks run smoothly and efficiently. Your energetic approach and attention to detail will help create a welcoming environment for clients and support our team in achieving their goals. This paid position offers an exciting opportunity to develop your skills in office management, customer service, and administrative support within a professional setting.

Duties

Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Perform data entry and maintain accurate records using spreadsheets, Google Suites, Google Workspace, and bookkeeping software
Organize and file documents systematically to ensure quick retrieval and compliance with office procedures
Assist with calendar management, scheduling appointments, and coordinating meetings for staff and clients
Provide exceptional customer support by addressing inquiries promptly and professionally, both in person and via phone or email
Support office management tasks such as supply ordering, inventory tracking, and basic bookkeeping activities
Proofread correspondence, reports, and other documents to ensure clarity and accuracy

Skills

Proficiency in Google Suites and Google Workspace applications
Strong computer literacy with excellent typing speed and data entry skills
Experience with QuickBooks or similar bookkeeping software is a plus
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Bilingual abilities are highly desirable to assist a diverse client base
Knowledge of office management procedures, including filing systems and calendar coordination
Exceptional customer service skills with a friendly demeanor and professional phone etiquette
Technical proficiency in using multi-line phone systems, spreadsheets, and productivity software
Previous experience as an office assistant, receptionist , or personal assistant is preferred
Ability to handle confidential information discreetly while maintaining high levels of accuracy in documentation
