Full Job Description

Front Desk Coordinator

Ultimate Staffing Services is seeking a professional, customer-focused Front Desk Coordinator to serve as the first point of contact for visitors, employees, and callers in California. The ideal candidate is dependable, proactive, and comfortable managing a variety of administrative and office support responsibilities in a fast-paced environment.

Responsibilities:

Front Desk & Customer Service

Answer and direct inbound phone calls using a multi-line phone system (RingCentral experience is a plus).
Welcome visitors, clients, and vendors with a friendly and professional demeanor.
Escort guests to conference rooms and ensure a positive visitor experience.
Serve as the primary point of contact for all front office activities.

Administrative Support

Assist with invoice coding and submission to Accounting.
Support multiple departments with administrative projects and office-related tasks.
Maintain accurate notes and retain training information.
Utilize Microsoft Office applications, including basic Excel functions.
Learn and navigate multiple systems and office technologies.

Mail & Delivery Coordination

Accept and sign for incoming mail, packages, and deliveries.
Distribute incoming deliveries to the appropriate departments.
Coordinate outgoing mail and shipping requests.

Kitchen & Office Operations

Stock and restock kitchen supplies throughout the day.
Monitor inventory levels of snacks, paper products, beverages, and general office supplies.
Put away large supply orders and deliveries.
Ensure kitchen, copier, and supply areas remain organized and fully stocked.
Take initiative to identify and replenish supplies before inventory runs low.

Qualifications:

Strong customer service and communication skills.
Professional and confident phone presence.
Excellent computer skills with the ability to learn new systems quickly.
Ability to follow directions, take detailed notes, and work independently.
Strong organizational skills with attention to detail.
Reliable, punctual, and accountable.
Team-oriented with a positive, helpful attitude.
Prior front desk, reception, administrative, or office support experience preferred.

Schedule:

Monday-Friday, 8:00 AM - 5:00 PM

Compensation:

$25.00-$27.00 per hour

Additional Details:

Max Pay is $27.00. Min Pay is $25.00.
