Who We’re Looking For
We need a sharp, highly organized, and proactive Litigation Assistant who thrives in a fast-paced, high-volume environment and is ready to assist in personal injury cases from start to finish. The ideal candidate is a problem solver, a master communicator, and an assistant powerhouse who knows how to keep things moving, and keep clients informed.
Core Responsibilities:
Litigation Support & Case Preparation
- Assist attorneys and litigation paralegals in preparing cases for trial, arbitration, and mediation.
- Organize and maintain case files (electronic and physical), ensuring documents are properly labeled, saved, and updated.
- Draft routine correspondence, cover letters, and document requests.
- Prepare basic legal documents and forms under the supervision of attorneys/paralegals (e.g., subpoenas, notices of depositions, discovery shells, proofs of service).
- Coordinate with medical providers, expert witnesses, and vendors to obtain records, bills, and documentation needed for litigation.
Court Filings & Case Management
- File documents with state and federal courts via e-filing systems (e.g., OneLegal) and ensure proper service of process.
- Track and maintain court deadlines, hearing dates, and other important litigation milestones.
- Calendar all litigation events, discovery deadlines, and appointments in accordance with firm procedures.
- Confirm upcoming appearances, depositions, and other proceedings with relevant parties.
Client & Third-Party Communication
- Serve as a point of contact for clients regarding updates, signatures, appointments, and document collection.
- Communicate professionally and effectively with opposing counsel, court clerks, medical offices, and vendors.
- Ensure clients are kept informed on the status of their case and next steps, under attorney/paralegal direction.
- Follow up with clients for outstanding discovery responses or documentation.
Document Management & Discovery
- Organize and index incoming and outgoing discovery materials.
- Assist in the preparation and service of discovery requests and responses.
- Help gather, sort, and compile exhibits for depositions, mediations, and trial binders.
- Maintain accurate discovery logs and document production records.
Administrative Support
- Schedule meetings, depositions, medical exams, and court appearances.
- Assist with trial preparation tasks such as creating witness lists, exhibit lists, and timelines.
- Maintain accurate and up-to-date data in the firm’s case management software (e.g., Filevine, Clio, Salesforce).
- Ensure all documents are scanned, saved, and filed appropriately in client files.
- Perform general administrative duties as assigned, including mail processing, copying, and organization of litigation-related materials.
What You Bring to the Table
- Superior organizational abilities – You thrive in high-volume environments and can juggle multiple cases without missing a beat.
- Problem-solving mindset – You see challenges as opportunities and find creative solutions to get results.
- Tech-savvy & detail-oriented – Experience with case management software (Filevine, Salesforce, Clio, CasePEER or similar) is a plus!
- Litigation support experience – 1–3 years in personal injury or a similar legal assistant/paralegal role.
- Knowledge of California procedure – Familiar with the California Code of Civil Procedure and court filing rules.
- E-filing expertise – Skilled with California state court e-filing; federal court experience is a bonus.
- Organizational powerhouse – You manage deadlines, details, and competing priorities with ease.
- Communication skills – Clear, professional, and effective in both writing and speaking.
- Tech-proficient – Comfortable with Microsoft Office Suite, Adobe Acrobat, and case management systems.
- Professional & discreet – You bring a polished demeanor, respect confidentiality, and deliver excellent client service.
- Bilingual (Spanish/English) is required.
