This is a full-time, in-person position at our Downey, California office.

POSITION SUMMARY
The QuickBooks Online Bookkeeper & Tax Assistant will manage bookkeeping assignments for multiple business clients through QuickBooks Online Accountant.
The employee will reconcile accounts, correct bookkeeping errors, perform cleanup and catch-up work, prepare tax-ready financial statements, communicate with clients regarding missing information and assist the tax team as needed.
The ideal candidate has practical QuickBooks Online Accountant experience, excellent attention to detail, good judgment and the ability to complete assignments accurately and on schedule.
Experience with Drake Tax software is highly preferred but not required.
PRIMARY RESPONSIBILITIES
- Manage multiple client companies through QuickBooks Online Accountant
- Categorize and review income, expenses, transfers, loans, fixed assets, owner contributions and distributions
- Reconcile bank, credit-card, loan, payroll and other balance-sheet accounts
- Investigate and correct discrepancies, duplicate transactions and misclassified activity
- Review, maintain and correct charts of accounts
- Perform bookkeeping cleanup and catch-up assignments
- Prepare accurate profit-and-loss statements and balance sheets
- Identify unusual, incorrect or unsupported balances and bring them to management’s attention
- Organize books and supporting documents for individual and business tax preparation
- Request missing records and explanations from clients professionally and promptly
- Maintain clear notes documenting completed work, open questions and required follow-up
- Assist with Drake Tax data entry and tax-return preparation when qualified
- Protect confidential financial, tax, payroll, banking and personally identifiable information
- Follow G&F procedures, checklists, deadlines and quality-control standards
- Assist with additional bookkeeping, payroll, tax and administrative assignments as needed
REQUIRED QUALIFICATIONS
- At least one year of hands-on QuickBooks Online experience
- Experience using QuickBooks Online Accountant to work with multiple client companies
- Ability to independently perform bank and credit-card reconciliations
- Understanding of bookkeeping and basic accounting principles
- Ability to review profit-and-loss statements and balance sheets for accuracy
- Strong attention to detail and commitment to producing accurate work
- Ability to work efficiently and meet established deadlines
- Professional written and verbal communication skills
- Honest, dependable, organized and self-motivated
- Comfortable communicating with clients and working collaboratively with a close-knit team
- Able to maintain strict confidentiality concerning client and company information
- Able to work full-time and in person at our Downey office
- Authorized to work in the United States
PREFERRED QUALIFICATIONS
- English/Spanish bilingual proficiency
- Experience with Drake Tax software
- Experience preparing or assisting with individual or business tax returns
- Experience cleaning up incomplete or inaccurate QuickBooks files
- Experience preparing books for year-end tax returns
- Experience working in a tax, bookkeeping, accounting, payroll or professional-services office
- QuickBooks Online ProAdvisor certification
COMPENSATION
- $24–$28 per hour, depending on demonstrated experience and ability
- Overtime paid in accordance with California law
- Compensation review after 90 days based on integrity, teamwork, client service, accuracy, self-initiative, productivity, dependability and ability to manage multiple client files independently
- Full-time W-2 employment
WORK SCHEDULE
Non-Tax Season:
- Monday through Friday
- 8:30 a.m. to 5:00 p.m.
Tax Season — February 1 through April 15:
- Monday through Friday
- 9:00 a.m. to 7:00 p.m.
- Overtime paid in accordance with California law
Required meal periods and paid rest breaks will be provided in accordance with applicable California law. Additional hours may occasionally be required during major filing deadlines.
QUALITY EXPECTATIONS
Accuracy is essential at G&F, and it must be accompanied by steady productivity.
The successful candidate will complete work carefully, follow established procedures, manage time effectively and communicate promptly when information is missing.
Assignments should not remain unfinished or inactive without documentation, explanation and appropriate follow-up.
Because errors can affect tax returns, financial statements, payroll and important client decisions, the employee is expected to review their own work before marking an assignment complete.
CONFIDENTIALITY AND DATA SECURITY
This position involves access to highly sensitive client and company information, including:
- Bank and financial-account information
- Social Security numbers and taxpayer-identification numbers
- Dates of birth
- Full legal names and addresses
- Tax returns and supporting documents
- Payroll and employee information
- QuickBooks records and financial statements
- Usernames, portals and other protected systems
The successful candidate must follow all G&F confidentiality, cybersecurity, document-handling, password, clean-desk and data-access policies.
Unauthorized access, use, copying, downloading, removal or disclosure of confidential information is strictly prohibited.
Employees must use only their assigned system credentials and may not share passwords or permit another person to use their accounts.
PREEMPLOYMENT SCREENING
Because this position involves access to confidential tax, financial, banking, payroll and personally identifiable information, employment is contingent upon successful completion of job-related, legally compliant preemployment screening following a conditional offer.

PRACTICAL BOOKKEEPING ASSESSMENT
Selected candidates will be asked to complete a practical bookkeeping assessment before receiving a conditional employment offer.
The assessment may include:
- Reconciling a sample bank account
- Correcting miscategorized or duplicated transactions
- Identifying problems on a balance sheet
- Reviewing a profit-and-loss statement
- Explaining an undeposited-funds balance
- Organizing an assignment for tax preparation
- Documenting corrections and unresolved questions
The assessment will measure accuracy first, followed by productivity, organization and professional judgment.
