Full Job Description

Classification/Status: Non-Exempt – Full Time

Reporting To: Business Operations Manager

Overview:

The Business Operations Associate is responsible for promptly addressing maintenance request/concerns, maintaining day-to-day facility operations, and assist the Business Services Department with general administrative tasks. As a Business Operations Associate, contact with internal and external stakeholders will require tact and discretion. This position will need to be able to identify business (and functional) requirements, create additional documentation as appropriate, meet the specifications as requested, participate in proposal reviews, and provide project/task deliverables when needed. This position may require overtime on a regular basis. This is a full-time, non-exempt position with a work schedule of 7:00 A.M. to 4:00 P.M.

Position Functions and Responsibilities:

· Address, procure, review, schedule, coordinate, confirm completion, and invoice maintenance and repair proposals.

· Manages the repair/maintenance process including, but not limited to – repair order creation, acquiring competing quotes, bid issuance, progress tracking, status updates, invoicing, cost coding, and dispute requests. Review and process Vendor Invoices and reconcile pricing as agreed and within established guidelines. Actively seeks reoccurring maintenance and service invoices.

· Initiates the procurement process of facility management tasks by obtaining purchasing justification, research cost information quotes, ensures all appropriate checks and balances have been met, and compiles information to provide to Stakeholder for approval.

· Maintains and updates procurement/repair/maintenance documents (Requisition and Credit Card purchase documents) in the systems used by the organization to support this function.

· Prepare service and maintenance contracts.

· Request, file, and track W-9’s, insurance, and maintenance contracts for validity.

· Schedule and track Back Flow Devices/inspections, security systems, elevator inspections, fire suppressant system inspections, fire extinguishers inspections, and air system maintenance.

· Coordinate drain cleaning, landscaping, carpet cleaning, janitorial services, and any other processes to maintain upkeep of the property.

· Update data in the company ticketing system regarding repair lead times, timeline, and other fields as required.

· Executes duties related to scanning, maintaining, and retrieving records handled by the department.

· Process completion of tasks within specified time frames to avoid interruption to the facility and/or project completion.

· Manages stakeholder vehicle fleet which includes, but not limited to – CDL Compliance, CARB Compliance, vehicle registration, driver’s license monitoring (using an agreed upon software), fuel card management, manage accident/damage claims, coordinates collision repairs, and tracking of vehicle fleet. Provides report for Accounting regarding personal vs. business use of vehicles. Processes reimbursement of roadside assistance for drivers and tracks history of accidents and citations.

· Assists with special projects assigned by and to the Department.

· Complete administrative tasks needed to maintain and track all department projects/tasks.

· Generate status reports as requested using the organization’s standard template for each assigned project on the agreed upon frequency (weekly/bi-weekly, etc.). Prepares reports, CAM expenses, and other communications to stakeholders on facility performance/procurement indicators as needed.

· Perform day-to-day facilitation including participating in meetings, generating deliverables and managing relevant communication (internal and external) and otherwise assisting project team members.

· Work with department leadership, vendors, and stakeholders to determine the initial project and or request schedule and resource/role allocation (if and when appropriate).

· Comply with project deliverables as defined by the leadership, vendors, and stakeholders.

· Provide excellent customer service to all stakeholders and maintains professional interaction with tenants and vendors.

· Facilitate working relationships and coordinate tasks between internal clients, external clients, and tenants (as appropriate and needed).

· Hold and participate in formal/informal meetings with stakeholders (internal or external) and team members as needed

· Maintain business requirements per CSAC standard templates and techniques.

Required Qualifications and Skills:

· Bachelors degree and/or equivalent experience

· Experience with real estate transactions and procedures

· Must possess a proactive and service-oriented approach to solving project related problems

· Advanced knowledge of Microsoft Office products, including proficiency in Microsoft Excel

· Able to take strategic direction from management

· Minimum of 5 years working in an office setting

· Strong knowledge of business analysis and project management

· Ability to establish and maintain effective working relationships with various stakeholders

· Ability to interact effectively with all levels of management, vendors, visitors, Trustees, consultants and others

· Ability to multi-task in a diverse work environment with several duties

· Ability to work under pressure and deliver professional results while meeting deadlines

· 2+ years of facilitation and presentation as well as business writing or demonstrated expertise

· Self-motivated and driven with ability to work independently within a collaborative work environment

· Participates, and interacts professionally during meetings, company events, and seminars

· Professional phone etiquette, appearance and demeanor

Supervisory Responsibility:

· This position has no initial supervisory responsibilities

Work Environment/ Physical Demands

· The employee will perform duties in an office setting on a full-time basis

· This position will require overtime on a regular basis and is an essential job function.

· While performing the duties of this position, the employee is regularly required to use hands and fingers to handlefeel or operate objects, tools or controls, and to reach with hands and arms. The employee is frequently required to stand, talk and listen.

· Ability to lift 10-50 pounds when necessary.

· The physical demands described here are representative of those that must be met by the employee.

Travel

· Minimal to no travel. Occasional travel to business related events, offices and/or seminars may be required.
