Position Title: Collections Administrative Assistant

About Us: We are a small, reputable law firm specializing in real estate closings, condominium and community association matters, civil litigation, business and corporate law, estate planning, probate and more. We pride ourselves on providing exceptional legal services to our clients while fostering a collaborative and supportive work environment for our team.

Job Summary: We are seeking a highly organized, detail-oriented and proactive Collections Administrative Assistant to join our team. The primary responsibilities of this role include managing condominium and community association collection efforts, providing administrative and bookkeeping support to attorneys and other team members as needed, answering phones, and greeting guests.

Schedule: Full-Time Position, Monday through Friday, 8:30 a.m. to 5:30 p.m. [In person/In office]

Responsibilities:

Assist with condominium and community association collections by drafting correspondence, calculating and drafting payoffs, handling receivables and disbursements, contacting property managers/associations, monitoring debtor payment deadlines, and additional related duties as needed.
Maintain accurate and organized files and documentation related to client matters, collections, and other administrative tasks.
Provide administrative support to attorneys and other team members, including document preparation, scheduling appointments, filing, and managing calendars.
Handle incoming calls and correspondence, prioritize tasks, and ensure timely responses to emails and inquiries.
Assist with special projects and other duties as assigned.

Qualifications:

High school diploma or equivalent required.
Previous office experience is required; law firm and/or collections experience is preferred.
Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
Must be able to handle various tasks simultaneously while maintaining accuracy and efficiency.
Excellent communication skills, both written and verbal.
Strong mathematical skills necessary to perform precise calculations.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
Attention to details and precision essential to record keeping tasks.
Ability to maintain confidentiality and manage sensitive information with discretion.
Positive attitude and willingness to learn and adapt in a fast-paced environment.
