Operations Manager

Louisville, KY 40205 | On-Site | Full-Time | Reports to Executive Committee

Position Overview

Louis T. Roth & Co., PLLC is a well-established, full-service CPA firm based in Louisville, Kentucky, serving clients across a broad range of industries with accounting, tax, and advisory services. With a team of 60+ professionals, we are built on decades of expertise, trust, and a commitment to excellence.

We are seeking an experienced, hands-on Operations Manager to serve as the operational backbone of our firm. This is a highly visible leadership role responsible for overseeing day-to-day administrative functions, driving process improvements, supporting our Executive Committee, and ensuring the firm runs at peak efficiency, especially during our demanding tax seasons. The ideal candidate leads by example, is comfortable operating at both the strategic and tactical level, and never considers a task beneath them when the firm needs it done.

Key Responsibilities

Operations & Workflow Management

Oversee and coordinate all daily office operations and administrative functions to keep the firm running efficiently
Develop, implement, and continuously improve operational systems, processes, and standard operating procedures
Manage and track firm-wide deadlines, project schedules, and reporting calendars; proactively identify and resolve blockers
Maintain and update the firm's procedures manual and ensure organization-wide compliance
Provide regular operational reports and status updates to the Executive Committee
Step in to assist with day-to-day and clerical tasks as needed, particularly during high-volume periods

Facilities & Office Management

Manage all aspects of the firm's physical facilities including vendor, contractor, and landlord relationships
Coordinate building maintenance, repair requests, and safety or environmental issue resolution
Oversee office supply inventory, equipment maintenance, and space planning

Administrative Support & Executive Coordination

Provide high-level administrative support to partners and the Executive Committee
Manage complex calendaring, scheduling, and meeting coordination using Microsoft Outlook and Teams
Prepare meeting agendas; serve as recording secretary for committee meetings, producing accurate action minutes
Maintain up-to-date contact databases, office records, and confidential business and client materials

Human Resources & Onboarding Coordination

Coordinate all aspects of new hire onboarding from offer acceptance through orientation
Manage seasonal intern and clerical hiring: recruitment coordination, scheduling, and day-to-day supervision
Screen resumes, assist with interview scheduling, and handle candidate communications
Maintain and update the Personnel Handbook, employee benefit tracking, and HR records
Assist in collating evaluation data and HR reporting; maintain proper HR management standards

Technology, Reporting & Process Improvement

Serve as the firm's internal resource for Microsoft 365 Teams, Outlook, Word, Excel, SharePoint, and OneDrive
Prepare reports, statistical analyses, and presentation materials for leadership
Analyze time and billing data; assist in improving accounts receivable collection processes with the billing team
Proactively identify and recommend technology and workflow improvements across the firm

Required Qualifications

3+ years of experience as an Office Manager, Operations Manager, or Firm Administrator
Experience in an accounting, CPA, legal, or professional services firm strongly preferred
Demonstrated proficiency with the full Microsoft 365 suite: Teams, Outlook, Word, Excel, SharePoint, OneDrive
Strong calendar management, scheduling, and executive coordination skills
Proven ability to manage multiple concurrent projects and deadlines with accuracy and follow-through
Experience coordinating new hire onboarding and seasonal/intern staffing programs
Exceptional organizational skills, attention to detail, and written/verbal communication skills
Ability to handle sensitive and confidential information with professionalism and discretion
Must be available on-site, Monday–Friday; extended hours required during tax season (January–April and September–October)

Preferred Qualifications

Prior experience in a CPA firm or public accounting environment
Familiarity with time and billing software or accounting practice management platforms
Basic HR knowledge including personnel recordkeeping and benefits administration
Experience as a recording secretary or meeting minutes coordinator
Track record of leading and implementing process improvement initiatives
