POSITION DESCRIPTION

TITLE: Receptionist

REPORTS TO: Director – Human Resources

DEPARTMENT: Finance, Investment & Operations

STATUS: Full-time, Non-exempt

UPDATED: July, 2026

LOCATION: On-site

Nature of Work:

The Receptionist position is the front line of the exceptional customer service provided at the Community Foundation of Louisville. This position requires a warm, professional, and hospitable demeanor that translates into a welcoming environment for all of our guests, vendors, and staff members who are with us by phone, online, or in person so that each has a positive experience engaging with the Community Foundation of Louisville.

In addition, this position requires excellent interpersonal and communication skills, strong public and phone presence, the ability to function as part of a team, a passion for the Louisville community and philanthropy, and demonstrated proficiency in computer technology.

Essential Duties:

Answer and direct all incoming phone calls to the appropriate staff person. Record and relay messages as necessary.
Responsible for monitoring and replying to emails in the general info inbox.
Welcome guests by offering beverages, taking their coats, and providing conversation as appropriate.
Process parking validation for guests and collaborate with the Office Manager to maintain stock of validation tickets.
Daily mail receipt, processing, and distribution.
Daily processing of outgoing mail.
Collaborating with the Office Manager with opening the office each day including turning on all lights, making coffee, unloading dishwasher, loading printers, checking restrooms, and tidying lobby and waiting areas.
Provide assistance as needed to the Office Manager with internal Foundation meetings such as set-up and clean-up and other duties associated.
Communicate observed environmental issues such as broken equipment or need for deep cleaning to Office Manager to submit repair requests.
Assist in monitoring postage meter, ensuring it has funds and is working properly.
Perform general closing duties at the end of each day, including running the dishwasher, sanitizing common surfaces, turning off all lights, and making sure all office entrances are secure.
Assist with mass mailings and other administrative duties when needed.
Serves as back-up liaison with building management for problems that come up in our office when the Office Manager is unavailable.

Knowledge, Skills and Talent:

Proficiency in Microsoft Office (Excel, Outlook and Word) and the internet.
Experiencing using a multi-line phone system.
Ability to learn and operate new programs and software.
Attention to detail and organization.
Knowledge of local community preferred.
Experience in working with confidential information.
Office experience preferred- including records maintenance, equipment operation, and administrative skills.
Excellent communication skills, both oral and written. Proficient listening and retention skills.
Customer service focused, excellent phone demeanor.

Qualifications and Experience:

At least 2 years’ experience in an office environment where attention to detail and customer service were top priorities.
Professional in manner and appearance
Commitment to ethical behavior and discretion.
Able to meet standard daily office schedule- 8:30 am – 5:00 pm, Monday-Thursday and 8:30-4:00 on Fridays.

Physical Requirements:

This position may require the ability to lift objects of at least 20 pounds in weight. Job duties require approximately 75% sitting/typing and 25% moving around. Physical requirements will vary depending on the specific duties to be accomplished. In addition, it is a requirement of this position that the successful candidate be able to maintain a physical presence in the Louisville offices regularly and consistently, and for the full regular work week.

The position is an administrative, full-time, non-exempt staff assignment and will be eligible to participate in the Foundation’s Employee Health and Benefits Plans as set forth in the Foundation’s personnel policies. Compensation will be set according to the Community Foundation of Louisville’s approved compensation policy.
