Job Title:Project Management Assistant

L*ow Stress T*ransaction Properties is the premier real estate solutions and investment company in Louisville, KY. We rehab properties with integrity and care, creating a comfortable home and a sound investment for any Home Buyer. We are one of the largest single-family rehab companies in the Louisville area, managing up to 20 rehab projects at a given time, and Inc. 5000 has named us one of the Fastest Growing Small Businesses in the State of Kentucky.

Job Summary: Project Management Assistant

The Project Management Assistant works closely with Project Managers in managing the entire Rehab Process for all single-family residential homes, as well as the occasional multi-family rental unit. The Rehab Process includes creating a Scope(s) of Work based on an initial rehab estimate and property inspection, soliciting and negotiating bids with contractors, establishing contracts, creating a rehab budget and schedule, coordinating contractors and materials during rehab, prioritizing rehab tasks in order to meet schedule commitments, maintaining the rehab budget, and communicating effectively with contractors and the LST team during rehab. The Project Management Assistant and the Project Managers work closely with contractors to ensure their workmanship meets all local building codes and regulations, as well as standard building practices.

The ultimate goal of the Project Management Assistant is to ensure that the rehab of each property is completed on-schedule and on-budget, and that each property is rehabbed according to the high quality standards we have set here at LST.

While this job will include a significant amount of training, the ideal candidate for this position is a highly motivated individual, capable of multitasking and juggling multiple projects while maintaining professional decorum as a representative of LST. As the job is largely autonomous (after training), the ideal candidate should be capable of anticipating not only problems, but functional solutions. Communication is KEY for this position, as the Project Management Assistant is the point-of-contact for all contractors, inspectors and buyers. The ideal candidate is a constant learner, capable of internally reviewing each rehab project and identifying what went well and what didn’t, and adjusting their process accordingly. Job Responsibilities: Project Management Assistant

The Project Management Assistant is responsible for the following:

Rehab Management
Thoroughly inspecting each property to validate and approve initial property repair estimates
Seek outside consultation from subcontractors as-needed in order to validate property repair estimates
Create and maintain the project Scope of Work, Budget, and Schedule
Procure bids from contractors and award job contracts
Schedule contractor start dates and manage contractor flow through rehab lifecycle
Provide guidance to contractors on interpreting the project Scope of Work
Hold contractors accountable for cost and schedule commitments
Communicate Scope Change Orders with the project team, providing workable and cost-effective solutions
Coordinate rehab materials
Maintain thorough and detailed records of the rehab process, including: photos, lists of finish materials, permits, quotes, invoices, receipts, specific repairs, schedules, etc.
At project completion, complete Punchlist for each property and ensure all Punchlist items are completed by contractors
Transition finished properties to rental or sales department
Contractor Team Building
Maintain good working relationships with contractors
Seek and identify new contractors to fill skill gaps
Assess contractor performance and integrity
Provide recommendations to business owner for hiring/firing of contractors
Sales
At rehab project completion, staging each property and scheduling photos
Running comps and recommending sale price
Reviewing Buyers repair requests, etc.
Coordinating Buyers Repairs
Reporting
Weekly reporting of actual costs-to-date vs. budget for Active Rehabs, noting any budget changes or “change orders”
Weekly reporting of project completion status vs project schedule
Review invoices submitted by contractors and approve for payment
Close the “information gap” with our acquisitions team, relaying any pertinent information regarding required project costs above-and-beyond the initial project estimate

Minimum Qualifications

Microsoft Office Proficiency (Word, Excel); High Proficiency in Excel is desired
2+ years Project Management experience
Self-motivated and autonomous professional
HIGHLY organized: able to create and maintain systems of organization in order to effectively manage multiple rehab projects at various levels of construction; continuously re-prioritize job tasks as-needed
HIGHLY EFFECTIVE communication skills
Excellent time-management skills
Basic understanding of home construction such that he/she may effectively plan rehabs
Desire and ability to learn and retain new information as it pertains to construction processes
Valid driver’s license and functioning vehicle

Desired Qualifications

BS in Construction Workeragement, Engineering, Accounting, Finance or related field
PMP or CAPM
Construction or Real Estate Investing Experience
