Full Job Description

Job Overview

We are seeking a highly organized and proactive Construction Administrative Assistant to support our residential construction and development team in Lubbock, Texas. This in-person contract role is ideal for someone who thrives in a fast-paced environment, communicates well, enjoys problem-solving, and takes pride in keeping projects organized and moving forward.

This position plays a key role in supporting daily operations across permitting, project coordination, scheduling, documentation management, and general construction administration. The ideal candidate is detail-oriented, dependable, and able to manage multiple priorities while maintaining accuracy and professionalism.

This role will primarily be office-based but requires occasional local travel around Lubbock to job sites, city offices, and includes occasional project-related errands.

Responsibilities

Assist with permitting processes, including permit applications, tracking approvals, renewals, and coordinating with municipalities and utility providers.
Organize and maintain project files, construction documents, contracts, invoices, plans, inspection reports, and schedules.
Schedule inspections and coordinate meetings across multiple projects and municipalities.
Assist with research related to zoning, utilities, development requirements, and project coordination.
Coordinate utility service requests for temporary and permanent meter installations across multiple municipalities and utility providers, including tracking requests and installation timelines, scheduling connections and disconnections, and communicating with utility representatives to support construction timelines.
Coordinate utility disconnections following move-ins or closings.
Support project managers and construction staff with administrative tasks and day-to-day project operations.
Enroll recent homes into 3rd party warranty programs and help coordinate warranty payments and enrollment form signatures.
Upload and maintain accurate project information within company file-sharing and project management systems.
Help track construction progress, warranty items, and project timelines.
Assist with preparing reports, spreadsheets, and other project documentation.
Handle office support tasks including printing plans, organizing files, answering calls/emails, and coordinating internal communication.
Run occasional local errands related to construction projects, permitting, or office operations.

Qualifications

Minimum 2 years office administrative experience or related construction experience.
High School diploma required; Associate or Bachelor’s degree in a construction or business-related field preferred.
Proficiency in Microsoft Word and Excel is required.
Strong organizational skills and exceptional attention to detail.
Ability to multitask and manage several projects simultaneously in a fast-paced environment.
Strong communication and follow-up skills.
Experience with Dropbox, Google Drive, project management software, or construction management platforms is a plus.
Previous administrative, construction, permitting, project coordination, or office experience required.
Basic construction industry knowledge or field experience preferred.
Ability to work independently while also collaborating with a team.
Strong independent problem-solving skills.
Valid driver’s license and reliable transportation required for local travel around Lubbock.

Preferred Background

Experience in residential construction, development, real estate, or project coordination.
Familiarity with permitting, inspections, scheduling, or construction documentation.
Degree or coursework in Construction Management, Business, Real Estate, or a related field is a plus but not required.
