Infinite Living, LLC is seeking a dependable, professional, and observant Resident Service Assistant to support the daily operation, safety, and organization of its residential properties.
The Resident Service Assistant will work closely with the Property Manager and management team to respond to resident concerns, monitor property conditions, coordinate maintenance needs, assist with inspections, complete administrative duties, and help ensure residents follow established community policies.
This position requires strong judgment, communication, organization, confidentiality, and the ability to work independently.
Primary Responsibilities
Property Operations
- Assist the Property Manager with the daily operation of residential properties.
- Conduct routine walkthroughs of buildings, common areas, entrances, parking areas, and exterior grounds.
- Identify and report maintenance problems, safety concerns, property damage, pest activity, water leaks, electrical issues, and other hazards.
- Submit maintenance requests and follow up with management, contractors, or vendors as directed.
- Assist with scheduling and providing property access to approved contractors, vendors, inspectors, and emergency personnel.
- Help ensure common areas remain clean, safe, organized, and free of obstructions.
- Monitor parking, trash disposal, laundry areas, smoking restrictions, guest activity, and other community rules.
- Assist with unit inspections, move-in inspections, move-out inspections, and property condition documentation.
- Assist with preparing vacant units for new residents.
- Help monitor property supplies, keys, equipment, and inventory.
Resident Support
- Serve as a professional point of contact for residents, guests, applicants, and vendors.
- Receive resident questions, complaints, and maintenance requests and direct them to the appropriate person.
- Communicate property rules and procedures respectfully and consistently.
- Assist residents with completing forms, notices, maintenance requests, and other property-related documents.
- Help coordinate resident appointments, inspections, meetings, and follow-up communication.
- Conduct authorized resident welfare checks when requested by management.
- Maintain appropriate professional boundaries with residents and guests.
- Protect residents’ personal information and maintain confidentiality.
Safety and Property Monitoring
- Monitor security cameras and report suspicious, unsafe, or unauthorized activity.
- Check doors, locks, gates, lighting, cameras, and other property safety features.
- Respond appropriately to disturbances, excessive noise, unauthorized guests, loitering, and property rule violations.
- Contact management, emergency services, or law enforcement when required.
- Assist emergency personnel with locating residents or accessing approved areas of the property.
- Remain calm and follow established procedures during emergencies.
- Observe, document, and report incidents without attempting to act as law enforcement.
Administrative Support
- Answer telephone calls, emails, text messages, and resident inquiries as assigned.
- Maintain resident files, maintenance records, inspection forms, incident reports, and property logs.
- Prepare notices, letters, reports, and other property-management documents.
- Update waiting lists, vacancy information, resident contact information, and property records.
- Assist with rental applications, applicant intake, scheduled showings, and property tours.
- Help collect and organize required resident documentation.
- Assist with rent-payment tracking and provide payment reminders as directed.
- Do not accept cash payments unless specifically authorized by management.
- Assist with office opening and closing procedures.
- Maintain an organized and professional property-management office.
- Perform data entry and use email, calendars, spreadsheets, property-management software, and basic office equipment.
Incident Reporting
- Complete written incident reports for accidents, disturbances, injuries, rule violations, suspicious activity, emergency calls, and property damage.
- Document the date, time, location, individuals involved, witnesses, observations, and actions taken.
- Maintain daily activity and property-monitoring logs.
- Take photographs or video documentation when directed and when it can be done safely.
- Immediately report serious incidents, threats, criminal activity, health emergencies, or major property damage.
- Preserve relevant camera footage and documentation when requested.
Additional Duties
- Assist with resident meetings, community activities, food deliveries, property events, and special projects.
- Help distribute notices, correspondence, supplies, and approved resident resources.
- Assist with transportation coordination when authorized by management.
- Provide occasional evening, weekend, or on-call coverage as scheduled.
- Perform other reasonable duties assigned by the Property Manager or management team.
Required Qualifications
- Previous experience in property management, residential housing, security, property monitoring, hospitality, administration, caregiving, military service, corrections, or a related field.
- Security or property-monitoring experience is strongly preferred.
- Strong observation, communication, organization, and conflict-de-escalation skills.
- Ability to remain calm and use good judgment during emergencies or resident conflicts.
- Ability to write clear, accurate, and professional reports.
- Dependable, punctual, trustworthy, and able to maintain confidentiality.
- Ability to work independently and follow management instructions.
- Ability to interact respectfully with seniors, veterans, individuals with disabilities, families, and residents from diverse backgrounds.
- Basic computer and technology skills, including email, text messaging, security-camera systems, calendars, and electronic records.
- Valid driver’s license and reliable transportation preferred.
- Must successfully complete required background, reference, and employment checks.
Physical Requirements
The Resident Service Assistant must be able to:
- Walk throughout the property and climb stairs when necessary.
- Stand, sit, or walk for reasonable periods.
- Respond promptly to property concerns and incidents.
- Work indoors and outdoors in varying weather conditions.
- Lift or move up to 25 pounds when necessary.
- Use a computer, telephone, security-camera system, and standard office equipment.

The Resident Service Assistant must:

- Avoid personal, financial, romantic, or business relationships that create a conflict of interest.
- Refrain from accepting money, favors, or inappropriate gifts from residents.
- Enter resident units only with proper authorization, resident permission, or during a documented emergency.
- Avoid threats, harassment, discrimination, retaliation, or unnecessary physical contact.
- Never carry unauthorized weapons or attempt to perform law-enforcement duties.
- Remain free from alcohol and illegal drug use while working or responding to property matters.
- Immediately disclose any conflict of interest or situation that may interfere with job responsibilities.
Optional On-Site Housing
An on-site housing unit may be offered to the selected employee if a unit is available and management determines that the arrangement supports property operations.
Housing is not guaranteed and is not an automatic condition of employment. Any housing arrangement, rental amount, housing credit, utilities, occupancy rules, termination requirements, and other conditions will be stated in a separate written agreement.
Employment with Infinite Living does not automatically create a permanent right to occupy an Infinite Living property.
