Job Summary
We are seeking a dynamic and organized Administrative Receptionist to serve as the welcoming face of our office. This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, both bilingual and monolingual candidates are encouraged to apply. You will manage multi-line phone systems, coordinate appointments, handle clerical tasks, and support office management functions to create a positive and efficient environment for staff and visitors alike.

Duties

Greet visitors, clients, and vendors professionally, ensuring a warm and positive first impression.
Answer and direct calls using multi-line phone systems with courteous phone etiquette.
Manage appointment scheduling, calendar coordination, and meeting room bookings for staff.
Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office software.
Handle incoming correspondence, proofread documents for accuracy, and assist with clerical tasks like photocopying and mailing.
Maintain office supplies inventory and coordinate with vendors for procurement needs.
Manage the overall cleanliness of the office.
Provide customer support by addressing inquiries promptly and professionally via phone or email.
Assist with personal assistant duties including travel arrangements or special project support as needed.
Other tasks as assigned

Skills

Proven experience in front desk operations with strong multi-line phone system management.
Excellent organizational skills with the ability to prioritize tasks efficiently.
Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic QuickBooks knowledge.
Exceptional customer service skills paired with professional phone etiquette.
Accurate typing speed combined with attention to detail for proofreading and data entry tasks.
Experience in office management or administrative roles with a focus on clerical support.
Ability to handle multiple responsibilities simultaneously while maintaining a friendly demeanor.

Pay: From $10.00 per hour
