Full Job Description

The Office Manager is responsible for overseeing the daily administrative operations of the substance abuse treatment facility. This role ensures that front office tasks, staff coordination, and administrative support functions are carried out efficiently, professionally, and in compliance with all applicable policies, procedures, and regulations.

REQUIREMENTS:

· Supervise front desk and administrative staff; manage schedules, training, and performance.

· Oversee patient intake procedures, ensuring accurate and confidential documentation of records.

· Maintain compliance with HIPAA and all regulatory requirements regarding client records and facility operations.

· Coordinate office operations including supplies, equipment maintenance, and vendor relationships.

· Assist clinical and executive staff with scheduling, reports, correspondence, and internal communication.

· Serve as a liaison between departments, facilitating smooth communication and coordination.

· Track and manage billing records, insurance documentation, and payment processing with finance staff.

· Support audits and inspections by preparing required documents and maintaining organized records.

· Assist with HR-related tasks including onboarding, timekeeping, and benefits coordination.

· Ensure the office environment is safe, clean, and conducive to the needs of clients and staff.

REQUIRED SKILLS/ABILITIES:

· High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or a related field preferred.

· Minimum 2 years of administrative experience, preferably in a healthcare or behavioral health setting.

· Strong understanding of confidentiality laws including HIPAA.

· Excellent organizational, multitasking, and communication skills.

· Proficient with Microsoft Office Suite, EMR systems, and general office technology.

· Ability to manage staff and resolve conflicts professionally and constructively.

· Compassionate and professional demeanor, especially in a recovery-focused environment.

Job Type: Full-time

Pay: $15.00 - $22.00 per hour

Expected hours: No more than 40 per week
