Job Overview
Provide administrative bookkeeping for FOETZ, a 501(c)(3) non-profit organization. The position handles bookkeeping tasks. This is an hourly position of 15-20 hours per week. Hours are flexible and working remotely is permitted. This position is required to come in-person to the zoo’s administrative building as needed to complete onsite tasks. The position reports to the FOETZ Executive Board. The position will meet regularly with the Zoo Director, who makes all decisions regarding operations of the zoo.
Job Responsibilities:
● Record daily financial transactions in QuickBooks Online and ensure correct categorization.
● Process invoices, cut checks, submit for signatures, and prepare checks for mailing.
● Prepare and make bank deposits.
● Reconcile Point of Sale systems and cash deposits to bank deposits.
● Reconcile operating bank account, cash on hand, and credit card statements monthly.
● Adjust investment balances to fair market value at the end of each month.
● Reconcile actual financials to annual budget.
● Maintain organized digital and physical records of expenditures and revenues.
● Process payroll, track and categorize expenses accurately for tax reporting.
● Submit payroll taxes and file quarterly 941 payroll tax returns timely.
● Prepare 1099s and W-2s at year end and file.
● Ensure adherence to best practices and ensure compliance with requirements of nonprofit accounting standards.
● Provide Zoo Director with the information to create an annual budget proposal, cash flow tracking and financial analysis, as requested.
● Prepare and distribute financial reports before monthly board meetings.
● Attend and answer financial questions at monthly board meetings.
Qualifications:
● Associate or Bachelor’s degree in accounting, finance, business administration, or related field, preferred.
● Directly related experience may be substituted for the formal education requirement.
● Experience or education in professional bookkeeping, record keeping, and filing.
Knowledge, Skills, Abilities and Competencies:
● Proficiency with QuickBooks Online software.
● Possess basic Excel skills in creating and formatting spreadsheets, using formulas, and generating basic charts to visualize data.
● Experience with Point of Sales systems a plus.
● Strong organizational and time-management skills with attention to detail and accuracy.
● Strong understanding of accounting principles and knowledge of nonprofit financial requirements.
● Ability to handle multiple tasks and prioritize effectively.
● Ability to maintain confidentiality and handle sensitive information.
● Ability to build and maintain effective internal and external working relationships.
● Represent the organization in a professional, courteous, and positive manner.
Pay: From $20.00 per hour
