The Heart Institute of East Texas (HIET), a leading cardiovascular medical group serving East Texas through multiple clinic locations, is seeking an experienced, highly organized and professional Senior Executive Administrative Assistant.
This individual will report directly to the Office Administrator and provide high-level administrative support to the administrator, president, physicians and management team. The successful candidate must demonstrate exceptional discretion, judgment, communication skills and follow-through while working in a busy, professional healthcare environment.
KEY RESPONSIBILITIES
- Manage executive calendars, appointments, meetings and deadlines
- Coordinate physician, management and board meetings
- Prepare agendas, presentations, reports, correspondence and meeting minutes
- Maintain action-item lists and follow up with responsible individuals
- Facilitate communication among physicians, administrators, managers and HIET clinic locations
- Organize confidential administrative, personnel, contractual and corporate records
- Assist with physician recruitment, onboarding, credentialing and special projects
- Coordinate professional events, strategic meetings, retreats and community programs
- Track contracts, licenses, renewals and important organizational deadlines
- Screen and prioritize communications requiring executive or administrative attention
- Handle highly confidential information with professionalism and discretion
- Perform additional executive and administrative duties as assigned by the Office Administrator
REQUIRED QUALIFICATIONS
- Minimum of five years of progressively responsible administrative experience
- Prior experience supporting senior executives, physicians or healthcare administrators
- Excellent written and verbal communication skills
- Advanced proficiency in Microsoft Outlook, Word, Excel and PowerPoint
- Demonstrated ability to manage complex calendars, meetings and competing priorities
- Excellent organizational, proofreading and record-management skills
- Ability to work independently, anticipate needs and complete assignments on time
- Exceptional professionalism, reliability, judgment and confidentiality
- Knowledge of HIPAA and the importance of protecting sensitive patient, employee and business information
- Ability to work effectively with physicians, executives, employees and outside organizations
PREFERRED QUALIFICATIONS
- Bachelor’s degree in business, healthcare administration, communications or a related field
- Experience in a physician group, hospital, multispecialty practice or healthcare organization
- Experience preparing board or management meeting materials and minutes
- Familiarity with physician credentialing, contracts, compliance and medical-practice operations
- Experience coordinating activities across multiple office locations
- Project-management, data-reporting or presentation-development experience
- Proficiency with modern productivity and approved AI-assisted business tools
COMPENSATION AND BENEFITS
HIET offers a competitive annual salary of $60,000–$80,000, depending upon experience and qualifications, together with an excellent benefits package that includes:

The Heart Institute of East Texas is a comprehensive cardiovascular group with cardiologists representing general, noninvasive, interventional and electrophysiology specialties, together with cardiovascular surgical services. HIET serves patients throughout Lufkin and the surrounding East Texas communities through an extensive network of clinic locations.
